Job description

Responsibilities The Recruiting Coordinator provides administrative and operational support to the Recruiting team throughout the full recruitment lifecycle. This role plays a critical part in ensuring a seamless experience for candidates and hiring teams by managing interview logistics, processing employee referrals, preparing offer documentation, and maintaining recruiting systems and reports. The ideal candidate is detail-oriented, highly organized, and thrives in a fast-paced environment while delivering exceptional service to both internal stakeholders and external candidates.

Key Responsibilities Recruiting Operations Coordinate and schedule interviews for candidates across multiple business units and locations. Partner with recruiters and hiring managers to ensure timely communication and a positive candidate experience. Prepare and route offer letters, pre-employment documentation, and background checks through the applicant tracking system (iCIMS).

Maintain candidate records and job requisitions to ensure data accuracy and compliance. Manage candidate correspondence, including confirmations, status updates, and follow-ups. Employee Referral Program Process all employee referral submissions and ensure timely entry into the tracking system.

Communicate referral receipt and status updates to both the referring employee and the assigned recruiter. Partner with Payroll and HR to ensure referral bonuses are processed accurately and on time. Track referral trends and produce monthly reporting on program engagement and hires.

Support continuous improvement and promotion of the employee referral program through internal communication and campaigns. Systems, Reporting & Onboarding Support Maintain accurate and current information within iCIMS and other HR systems. Generate and distribute weekly recruiting reports, dashboards, and status updates.

Assist with coordination of new hire onboarding activities in collaboration with HR and IT teams. Help maintain standard operating procedures, templates, and process documentation. Collaboration & Special Projects Provide administrative and logistical support for campus recruiting events, career fairs, and early-career programs.

Participate in recruiting team initiatives and process improvement projects. Serve as a point of contact for candidates, hiring managers, and HR partners as needed. Qualifications Bachelorโ€™s degree in Human Resources, Business Administration, or related field preferred.

1โ€“2 years of experience in recruiting, HR coordination, or related administrative role. Experience with applicant tracking systems (iCIMS preferred) and Microsoft Office Suite. Strong attention to detail, time management, and follow-through.

Excellent written and verbal communication skills. Ability to maintain confidentiality and handle sensitive information with professionalism. Customer-focused with a proactive, team-oriented mindset.
