Join our compassionate and collaborative team as a Program Assistant, where your work helps ensure individuals receiving behavioral health services have access to the support, resources, and care they need. As a Program Assistant, you will serve as a vital support member of the ACT multidisciplinary team by coordinating administrative operations, managing client scheduling and intake activities, maintaining records, and serving as a key point of contact for clients, families, and community partners. This role combines office administration, customer service, communication coordination, and data management to help ensure efficient and effective program operations while supporting positive client experiences.

Key Responsibilities:

Coordinate daily, weekly, and monthly schedules to support client services and team operations.

Serve as a primary point of contact for clients, families, agencies, and community partners, providing exceptional customer service and timely communication.

Assist with client intake, screening, admission, and referral processes to ensure accurate and efficient onboarding.

Participate in daily team staffing meetings and collaborate with multidisciplinary team members to support client care.

Maintain client records and charts in accordance with organizational standards, ensuring documentation is complete, current, and accessible.

Monitor admissions, discharges, and program activity data to support reporting and operational needs.

Collect, organize, and track information used for reports, statistics, and program performance monitoring.

Manage office operations, including ordering and maintaining supplies, equipment, furniture, and program resources.

Coordinate vehicle usage records, mileage tracking, and maintenance scheduling for program vehicles.

Provide receptionist support by greeting visitors, answering phone calls, and directing inquiries in a professional and welcoming manner.

Triage calls and coordinate communication between clients and team members, assisting with urgent concerns and helping de-escalate situations when appropriate.

Support agency policy communication and assist with policy updates as needed.

Oversee landline and cellular phone account administration.

Education, Experience, and/or Credential Qualifications:

Education and/or experience in human services, office management, or a combination of both preferred.

Experience providing administrative, clerical, customer service, or program support functions preferred.

Experience working in healthcare, behavioral health, social services, or a related environment is beneficial.

Proficiency with Microsoft Office applications, including Excel, Word, and PowerPoint.

Experience maintaining records, managing schedules, and coordinating multiple tasks in a fast-paced environment.

Additional Qualifications:

Current valid driver's license, acceptable driving record, and current auto insurance required.

Ability to communicate effectively with clients, families, agencies, and a diverse workforce.

Exceptional administrative and organizational skills with strong attention to detail and accuracy.

Ability to manage confidential information with professionalism and discretion.

Strong relationship-building skills and the ability to establish productive contacts with internal and external stakeholders.

Knowledge of computer software and office technology.

Successful completion of background screenings, including criminal record, driving record, abuse/neglect, and fingerprint checks required.

Physical Requirements

Perform sedentary work that may require exerting up to 10 pounds of force occasionally and negligible force frequently to move or handle objects.

Sit for extended periods while performing administrative duties.

Occasionally stand and walk throughout the workday as needed.

Use hands, fingers, and arms repetitively for typing, writing, and other office-related tasks.

Maintain the ability to perform routine computer and telephone work throughout the shift.
