Job description

Program Assistant (Secret Clearance) USAID Washington, D.C. (Hybrd remote) Marathon TS is seeking a Program Assistant to support USAID's Bureau for Planning, Learning, and Resource Management (PLR), which shapes USAID's development policy and programming guidance to ensure the Agency's work is grounded in evidence and reflects the most advanced thinking in international development. You will be responsible for assisting the Bureau Front Office (FO), Office of the Assistant to the Administrator (AtA), with daily tasks including but not limited to: providing direct administrative support for one or more Front Office principals (calendar management, meeting preparation, facilitation of clearances) drafting memos and other written communications, organizing and coordinating both internal and external meetings, as well as other activities. Responsibilities โ€ข Provides direct administrative support to one or more Front Office Principals which includes strategic calendar management and scheduling, preparation and compilation of meeting materials, providing logistical support for meetings, conducting follow up from meetings, and any other administrative support requested by the principal within reason. โ€ข Completes travel authorization processes for Front Office principal(s) including making travel arrangements; securing clearances, country travel concurrences, and visas; and voucher preparations, as needed. Provides management and advice on travel procedures for PLR staff. โ€ข Performs notetaking, drafting, and circulation of meeting minutes. โ€ข Performs outreach and communication with internal and external stakeholders both orally and in writing. โ€ข Reviews, tasks, and tracks a variety of technical documents. Applies administrative policies, maintains various systems and databases, and handles other staff requirements. โ€ข Manages a shared, organized electronic filing system. โ€ข Ensures all briefers and clearances are complete and submitted in a timely fashion by PLR FO Principal(s). โ€ข Edits and drafts correspondence, recommendations, reports, and memoranda related to the work of Front Office Principals. Provides advice and guidance to managers and employees on questions and situations related to the administrative services provided. Qualifications โ€ข U.S. Citizenship. โ€ข Active Secret clearance is required. โ€ข Bachelors degree. โ€ข 2 or more years of experience working in a related position. โ€ข International relations background preferred. โ€ข USAID experience preferred. โ€ข Relationship management experience and ability to work under short-term deadlines. #cjjobs Marathon TS is committed to the development of a creative, diverse and inclusive work environment.
