Position Summary: The Scheduling Paralegal will manage a caseload of 75-100 personal injury cases, with a primary focus on scheduling hearings, trials, depositions, and mediations. This role involves coordinating client meetings, drafting correspondence, maintaining accurate case notes in Filevine, and managing attorney calendars to ensure seamless case progression. The ideal candidate will be highly organized, detail-oriented, and able to thrive in a fast-paced, high-volume legal environment.
Key Responsibilities:
  • Effectively manage a case load of 75 - 100 cases.
  • Schedule hearings, trials, depositions, and mediations.
  • Schedule client meetings including discovery meetings, deposition prep, and trial prep.
  • Maintain case notes regarding scheduling in case management program (Filevine).
  • Accurately manage attorney's calendar.
  • Verify and confirm attorney's appointments daily.
  • Draft deposition notices, hearing notices, and scheduling orders.
  • Prepare client letters, supplemental demand letters, and misc. correspondence.

Qualifications:
  • High School Diploma or GED required
  • Proficient in personal injury law involving motor vehicle accidents
  • Excellent time management, multi-tasking, and critical thinking skills
  • Detail oriented with exceptional written and verbal communication skills
  • Previous experience working in a fast-paced high-volume environment
  • Minimum of 2 yrs. (5 preferred) working in high volume personal injury case litigation
  • Proficient in Microsoft Office, Outlook, Adobe, and Case Management (Filevine)
  • Working knowledge of common deadlines and protocols of personal injury litigation
  • Professional appearance and behavior
  • Ability to work overtime as required in order to timely accomplish work expectations

Physical Requirements:
  • Office environment with normal business hours necessary to satisfactorily perform job functions.
  • Stationary Position - Must be able to remain in a stationary position up to 50% of the time.
  • Move or Traverse - This position needs to occasionally move about inside the office to access file cabinets, meeting rooms, office machinery, etc. May occasionally ascends/descends the stairs to get to other floors, cafeteria and parking area.
  • Dexterity - constantly operates a computer and other office machinery such as a copy machine/printer.
  • Move, Transport, Position, Put, Install, Remove - Occasionally moves supplies weighing up to 10 pounds for various presentation and event needs.
  • Communicate, Detect, Converse with, Discern, Convey, Express oneself, Exchange information - The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
