JOB DESCRIPTION


Job Summary:

The Assistant Community Manager assist with the onsite management of assigned properties and will serve as a floater across a few different BTR locations. Responsibilities will include working with tenants, tenant file processing and administrative and office support functions and receives direct supervision from the Community Manager.


Essential functions:

  • Serves as point of contact for residents and the general public
  • Explains process and procedures, answers tenant questions, listens, and assists and/or refers tenants based on concerns and problems
  • Consult with property manager to assist in resolving problems, investigating complaints, interpreting housing policies and enforces the lease agreement
  • Serves as maintenance dispatch for work orders
  • Creates, monitors, and closes out work orders
  • Provides updated reports of outstanding work orders to manager
  • Assists the Community Manager in processing move outs and transfers
  • Schedules and assists the Community Manager in inspecting dwelling units
  • Processes unit vacancies and tracks time for filling unit vacancies
  • Prepares charges, move out statements, notices, dwelling leases, inter office memos for residents
  • Assists the Community Manager with reading utility meters and escorting assigned contactors into dwelling units
  • Prepares adjustment slips for accounting department to include rent and services, rent changes, miscellaneous credit, and charges, etc.
  • Sends first notice bills or refunds to vacated residents and verifies all information submitted
  • Schedule’s appointments, prepares reexamination paperwork and packets and assists clients with completion of recertification documents
  • Sends out verifications on income and allowances for rent changes
  • Prepares statements and processes data for move outs and transfers and removes inactive files
  • Assist Community Manager in preparing reports
  • Maintains schedules for any recreation rooms located at assigned properties
  • Maintain monthly list of current public housing residents in assigned properties
  • Assists with inventory corrections and orders office and maintenance supplies
  • Performs administrative duties such as answering phones, greeting tenants and visitors, data entry, printing, sorting, and filing new and completed work orders, update files for interim changes, mail monthly rent and utility statements etc.

Work environment

  • Ability to work indoors and outdoors on a consistent basis
  • Assist with emergency measures as needed in temperatures exceeding 90 degrees or below 32 degrees Fahrenheit


Physical demands

  • Mobility and flexibility to walk, bend, kneel, lift, and reach to perform above duties as stated
  • Ability to walk long distances multiple times a week


Travel required

  • Must poses a valid driver’s license
  • Travel required (within EBR Parish to residential communities)

Required education and experience

  • Must successfully complete required certification trainings within one year of the date of hire or at the first available offering
