Office Staff Position - Be the Friendly Voice of Mental Health Support

Do you have prior experience working in a medical or mental health office setting? Do you enjoy working with technology and learning new processes? If so, you might be just who we're looking for!
At Wellity Health, we are committed to providing accessible, high-quality mental health care to underserved populations. As part of our office staff team, you'll be the first point of contact for many of our clients, helping create a welcoming, efficient experience.
This position is open to bilingual, Spanish speaking candidates only.
What You'll Be Doing
In this Full-Time, Non-Exempt (hourly), in-office position, your organization, communication skills, and attention to detail will shine in this role. Here's what your days will look like:
Answer Calls & Schedule Appointments - You'll assist clients with scheduling, rescheduling, and general inquiries, ensuring they feel supported every step of the way.
Verify Insurance & Explain Coverage - You'll work with insurance companies to verify eligibility and help clients understand their coverage.
Prepare Patient Records - From registration to appointment preparation, you'll ensure records are complete, accurate, and HIPAA-compliant.
Assist Clinical Staff - You'll support therapists and nurse practitioners by managing paperwork, scheduling, and other clerical tasks.
Maintain a Welcoming Office Environment - You'll help keep our workspace clean, organized, and inviting for both clients and staff.
What a Day in This Role Looks Like
Your day begins in the office with checking emails and G-chats to stay connected with Wellity providers. You review calendars for your assigned clinicians, ensuring appointments are accurately scheduled and up-to-date. As patient questions come in via phone and email, you respond with clarity and compassion, making sure they have the information they need.
Throughout the day, you'll create and send Zoom links for upcoming telehealth sessions while coordinating with colleagues to handle high-priority tasks. You juggle these responsibilities with ease, knowing that clear communication and organization help the entire team operate smoothly. Before wrapping up, you double-check tomorrow's appointments and confirm that all necessary documentation is complete.
What It Takes to Succeed in This Role
Must-Have Skills & Experience:
Fluent Spanish language skills - not just conversational Spanish, but the ability to discuss clinical matters with Spanish-speaking clients.
Prior Medical or Mental/Behavioral Health Office experience - You are familiar with the world of insurance, scheduling, and EHRs.
Ability to Learn New Technology - This job centers around our various technologies, from our Electronic Health Records system to helping clients navigate Zoom, you'll navigate through each system with ease
Customer Service Excellence - You enjoy helping people and can communicate clearly, especially when clients are nervous or uncertain.
