Overview:
The Business Services Assistant (BSA) role at Paul, Weiss presents an exciting entry-level opportunity for individuals eager to launch their careers in a prestigious and dynamic law firm. This position offers a unique chance to gain hands-on experience in a fast-paced environment, supporting various administrative and operational functions critical to the firm's success. Through rotational assignments with the Business Professionals team and a comprehensive training and onboarding program, this experience will equip the BSA with a wide range of skills.
The Business Services Assistant will work alongside experienced professionals gaining invaluable insights into the legal industry. This role provides the opportunity to be part of a collaborative team dedicated to excellence and innovation.
Ideal candidates will demonstrate exceptional organizational skills, a proactive mindset, and sound judgment in handling diverse matters. The role demands superior verbal and written communication abilities, meticulous attention to detail, a professional and collaborative work ethic, and flexibility in availability, including potential overtime.
Principal Duties and Responsibilities:
Client Service: Deliver outstanding client service to both internal and external clients.
Client Interaction: Welcome and assist clients and manage incoming client phone calls.
Administrative Support: Heavy email management via MS Outlook. Arrange appointments and meetings (including virtual platforms such as Zoom and MS Teams) and maintain attorney calendars. Process Conflict Check Requests and New Business Memos and manage the scanning, printing, and photocopying of documents. Reserve conference rooms, coordinate car services, and manage travel arrangements.
Legal Support: Download and distribute court filings to relevant litigation teams and file in iManage.
Database Management: Update attorney time entries, contacts, and marketing initiatives in relevant databases.
Document Production: Create and revise documents using MS Word, Excel and PowerPoint, and other use of various software, as needed.
Financial Administration: Prepare and submit expense reports and vendor invoices using Chrome River.
Concierge Assistance: Provide support for all aspects of meetings including room setup and breakdown, catering coordination, and reservation management via Workspace.
Qualifications:
Educational Background: A Bachelor's Degree is required.
Technical Proficiency: Proficiency in the Microsoft Office suite required.
Communication Skills: Strong verbal and written communication capabilities, with a keen focus on detail and customer service.
Professional Attributes: Must be a professional, proactive, and energetic team player.
Organizational Skills: Exceptionally well-organized and detail oriented.
Project Management: Ability to manage multiple projects within a deadline-driven environment.
Urgency and Flexibility: Capable of acting with a sense of urgency when necessary and willing to work overtime, including weekends and holidays, potentially on short notice.
Interpersonal Skills: Ability to cultivate and maintain professional working relationships with attorneys and business professionals.
Work Schedule:
Standard working hours are from 9:30 AM to 5:30 PM, Monday through Friday. BSAs are required to be onsite five days a week.
Salary:
$55,000. Paul, Weiss offers competitive compensation and benefits packages. The firm considers a number of factors when determining compensation, including, but not limited to, education, years of experience, levels of experience, competency levels and other relevant skills and qualifications
