Virtual Assistant (Remote – NY)
Location: Remote (Candidates do not need to be residing in NYC; however, close proximity to the NYC area is preferred for occasional in-person events and team activities.)
Hours: Approximately 5 hours per week to start, with opportunities for additional hours and growth
About Us
Palmer Concierge Physical Therapy is a concierge physical therapy practice dedicated to providing exceptional, personalized one-on-one care throughout New York City. We pride ourselves on delivering a premium patient experience from the first point of contact through every step of care.
We are seeking a highly organized, reliable, and detail-oriented Virtual Assistant to support our administrative operations, assist with patient communication, and contribute to the continued growth of our practice.
This is a remote position. While candidates do not need to live in NYC, individuals located within close proximity to the NYC area are preferred to allow for occasional in-person events, team gatherings, and social media content days. Travel time for approved in-person activities will be compensated.
Key Responsibilities
  • Manage incoming calls, patient inquiries, and new patient leads with professionalism and warmth
  • Schedule consultations and physical therapy appointments
  • Follow up with prospective and current patients via phone, email, and text
  • Monitor and respond to emails and voicemails promptly
  • Assist with insurance-related administrative tasks as needed
  • Provide general administrative support to the clinical team
  • Maintain accurate records and assist with administrative tracking
  • Support marketing initiatives and social media content creation
  • Assist with special projects as the practice continues to grow
Qualifications
  • Excellent verbal and written communication skills
  • Strong organizational skills with exceptional attention to detail
  • Ability to work independently and manage priorities in a remote environment
  • Proficiency with Google Workspace (Gmail, Google Calendar, Google Sheets, and Google Docs)
  • Professional, friendly, and patient-focused demeanor
  • Strong customer service skills and a proactive approach to problem-solving
  • Previous experience in administration, customer service, healthcare, or a medical office setting is preferred but not required

Schedule & Growth Opportunities
  • Approximately 5 hours per week to start
  • Opportunity for additional hours and responsibilities as the practice continues to grow and while primary VA is on vacation

  • Remote position; candidates may live outside of NYC but should be within reasonable proximity for occasional in-person events when needed
