Position Description

Tenna is searching for a Training Administrative Assistant to keep our Learning and Development programs running smoothly from end to end. You will coordinate enrollment and scheduling for internal and external training, prepare materials and set up sessions, run point on virtual platforms while classes are live, and keep certification and compliance records accurate and audit-ready. You will also own the reporting layer, pulling participation, completion, and evaluation data into recurring dashboards that helps us understand what is working. On the logistics side, you will manage our travel booking vendor relationship and coordinate travel for candidates, guests, and employees attending training events. This role requires strong administrative experience, comfort with learning management systems and virtual platforms, and real skill in Excel and reporting. Your Responsibilities:
  • Coordinates enrollment and registration for internal and external training programs, managing rosters, confirmations, waitlists, and cancellations.
  • Schedules training facilities, classrooms, meeting spaces, and virtual sessions, and prepares materials, supplies, equipment, and platform setup ahead of each session.
  • Prepares and distributes training agendas, pre-work, materials, and communications to participants and instructors.
  • Serves as host or producer for live virtual training sessions, managing attendee access, breakout rooms, recordings, and real-time technical troubleshooting.
  • Maintains organized records of training certifications, completion documentation, and compliance requirements, with an audit-ready filing structure and proactive reminders ahead of certification expirations.
  • Tracks inventory of training resources, maintains current course catalogs, and coordinates with external training providers and vendors.
  • Collects and organizes training data including participation rates, course completion, assessment scores, and evaluation results.
  • Builds recurring reports and dashboards on training metrics and program effectiveness for management and stakeholder review, and produces ad hoc analysis to support planning decisions.
  • Maintains databases of training participants, program schedules, and learning outcomes.
  • Administers the learning management system and other training software, including course setup, learner assignment, user accounts, and reporting.
  • Distributes post-session evaluations and surveys, follows up on outstanding completions, and summarizes feedback for the Learning and Development team.
  • Owns the relationship with our travel booking vendor, keeps self-service guidance current for employees, and coordinates travel directly for candidate interviews, guests, and employees who do not travel as part of their role.
  • Assists with travel logistics for employees attending training programs, including flights, accommodations, and ground transportation.
  • Provides administrative support for training meetings, budget and invoice tracking, purchase orders for training vendors, and project coordination.
  • Maintains calendar coordination for subject matter experts and training events.
  • Serves as the first point of contact for employee and external partner inquiries about training programs, and helps promote available programs across the Tenna team.
  • Documents recurring processes so training coordination is repeatable and does not depend on one person's memory.
  • Uses Tenna-approved AI tools to accelerate scheduling, reporting, and documentation, with all output reviewed for accuracy.
  • Performs other duties as assigned to support organizational training and development initiatives..
Qualifications:
  • 2+ years of administrative, coordination, or program support experience, preferably in training, HR, or education.
  • Strong proficiency with Microsoft Office, particularly Excel and Outlook is required.
  • Hands-on experience with a learning management system or comparable training platform, including course setup, learner assignment, and reporting.
  • Demonstrated experience building reports and working with data, including pivot tables and charts.
  • Experience supporting live virtual sessions on platforms such as Zoom, Microsoft Teams, or Webex, with the ability to troubleshoot access and audio issues in real time.
  • Strong organizational and project coordination skills, with the ability to manage competing priorities and firm deadlines.
  • Excellent written and verbal communication skills, with a service-oriented approach to employees, instructors, and external partners.
  • High attention to detail and accuracy in recordkeeping, particularly for compliance and certification documentation.
  • Sound judgment and discretion when handling confidential employee information.
  • Self-directed and resourceful, comfortable owning logistics without close supervision.
  • Experience with travel booking and expense management platforms such as FROSCH, Concur, or Navan is preferred.
  • Experience coordinating large-scale events or multi-session training programs is preferred.
  • Familiarity with training evaluation methods and assessment tools is preferred.
  • Experience supporting compliance, certification, or credential tracking programs is preferred.
  • High school diploma or equivalent required; bachelor's degree preferred.
