Job description

The Event Operations Specialist will be responsible for assisting with the planning, organizing, and execution of internal and corporate events across the Hotwire footprint meanwhile working closely with cross-functional teams and external vendors to ensure seamless execution of events that align with the company's goals and objectives.
Duties / Responsibilities:
  • Manage and execute event planning from inceptions to completion of the events.
  • Utilize independent discretion for process improvement in event planning.
  • Consistently display enthusiasm and garner partnership for all planned events.
  • Ensure accuracy of information contained in all event related collateral material whether digital or printed.
  • Maintain strict attention to detail and passion for organizational skills and strategy.
  • Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new products; placing and expediting orders for supplies; verifying receipt of supplies.
  • Contributes to team effort by accomplishing related results as needed.
  • Maintains confidence and protects operations by keeping confidential information.
  • Improves quality results by studying, evaluating, and re-designing processes and implementing necessary changes.
  • Other duties as required or assigned.

MINIMUM QUALIFICATIONS:To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
  • High school diploma or equivalent required; Associate's degree or coursework in Hospitality, Event Management, Business, or a related field preferred.
  • Minimum of 2 years of experience in administrative, clerical, hospitality, retail, or event support roles preferred; strong entry-level candidates with excellent organizational skills will also be considered.
  • Demonstrated organizational skills with keen attention to detail and a proven ability to reliably follow through on assigned tasks.
  • Proven experience managing and executing projects.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Valid driver's license required, with the ability and willingness to work flexible hours, including evenings and weekends, and travel locally to event venues, vendor locations, and storage facilities as needed.
  • Must have reliable personal transportation to travel within the organization's service area.
