Job description

Spare Parts & Order Entry Coordinator

This position is responsible for supporting spare parts coordination, order entry, customer communication, and internal order management for industrial products, replacement components, and service parts. The role is well suited for an entry-level candidate, recent graduate, or early-career professional with strong attention to detail, communication skills, and interest in manufacturing, industrial equipment, or technical customer support.

The ideal candidate will help process customer orders, coordinate spare parts requests, maintain accurate information in ERP systems, and support internal teams to ensure timely and accurate order fulfillment. This role requires strong organization, data accuracy, follow-up, and the ability to work closely with sales, purchasing, warehouse, shipping, engineering, and customer service teams.

Target salary: up to $70,000 based on experience.

Responsibilities

  • Enter and maintain customer orders in ERP systems with a high degree of accuracy.
  • Coordinate spare parts, replacement components, and standard product orders from request through fulfillment.
  • Review customer purchase orders for pricing, quantities, part numbers, shipping information, and delivery requirements.
  • Verify product availability, lead times, order details, and documentation before processing orders.
  • Communicate with customers regarding order status, delivery timelines, pricing, availability, and basic part information.
  • Support spare parts inquiries, replacement part requests, and customer service follow-up.
  • Coordinate with purchasing, warehouse, shipping, operations, engineering, service, and sales teams to support timely order execution.
  • Help resolve order discrepancies related to pricing, quantities, shipping, part numbers, shortages, or customer documentation.
  • Maintain accurate quote, order, customer, and project records to support documentation accuracy and process efficiency.
  • Assist with basic quotation support for spare parts and replacement components using customer requests, part numbers, drawings, BOMs, and internal documentation.
  • Support follow-up on open quotes and customer requests to help move spare parts opportunities into processed orders.
  • Assist with inventory tracking, commonly used spare parts, and service parts coordination.
  • Maintain organized files, communications, and order documentation.
  • Support process improvements related to order accuracy, spare parts coordination, customer response times, and ERP data quality.

Qualifications

  • Entry-level experience, internship experience, or 1–3 years of experience in order entry, customer service, inside sales support, logistics, purchasing support, administrative coordination, or manufacturing support preferred.
  • Recent graduates with strong organizational skills and interest in manufacturing, industrial equipment, or technical customer support are encouraged to apply.
  • Experience with ERP systems, order processing, CRM software, or business systems preferred.
  • Strong attention to detail and ability to accurately enter and verify order information.
  • Ability to read and review customer purchase orders, part numbers, quantities, pricing, and shipping details.
  • Basic ability to review technical documentation, drawings, BOMs, specifications, or equipment information preferred.
  • Strong communication skills with the ability to provide responsive customer and internal support.
  • Ability to coordinate across departments including sales, purchasing, warehouse, shipping, engineering, operations, and service.
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel.
  • Strong Microsoft Excel skills preferred.
  • Ability to manage multiple requests, deadlines, and order details in a fast-paced environment.
  • Strong problem-solving skills and willingness to learn technical products, spare parts processes, and internal systems.
  • Detail-oriented, organized, reliable, and customer-focused.
  • Ability to work 100% in office in Livonia, Michigan.
