Position: Accounts Payable SpecialistLocation: Remote-California or ArizonaCandidates must reside and be authorized to work in California or Arizona. This position is fully remote, with occasional travel as needed for business purposes.Company Overview Chilton Autobody offers customers a range of collision repair services, including paint and refinish, aluminum welding, bumper repair, ADAS diagnostics, structural damage repair, among others. Chilton is committed to its ever-expanding OEM certifications and is actively leading the industry in Electric Vehicle (EV) repair competency. Position Summary The Accounts Payable Specialist is responsible for processing and managing the company's accounts payable functions, ensuring vendors are paid accurately and timely while maintaining compliance with company policies and accounting procedures. This role supports the Finance Department by verifying invoices, reconciling vendor accounts, maintaining financial records, and assisting with month-end closing activities as well as payroll support. Essential Duties and Responsibilities • Process vendor invoices accurately and timely. • Verify invoice coding, approvals, and supporting documentation. • Match invoices to purchase orders, receipts, and contracts. • Prepare and process weekly check runs, ACH payments, wire transfers, and credit card reconciliations. • Maintain vendor files, W-9 documentation, and payment records. • Respond to vendor inquiries and resolve invoice or payment discrepancies. • Reconcile vendor statements and investigate outstanding balances. • Assist with month-end and year-end closing procedures. • Monitor accounts payable aging and resolve overdue items. • Ensure compliance with company policies and internal controls. • Support annual audits by providing requested documentation. • Assist with 1099 preparation and reporting. • Maintain confidentiality of financial and employee information. • Perform other accounting and administrative duties as assigned.
