This dynamic role balances meticulous contract-to-close transaction management with day-to-day administrative support, client experience initiatives, and office operations. Key Responsibilities


Transaction Coordination

  • Contract-to-Close: Oversee buyer and seller transactions seamlessly from executed contract through final closing and settlement.
  • Deadline Management: Rigorously track critical dates, including earnest money deposits, inspection windows, appraisal contingencies, and financing milestones.
  • Compliance & Documentation: Prepare, audit, and organize all transaction documents and checklists to ensure complete, compliant client files.
  • Stakeholder Communication: Serve as the primary, proactive liaison between agents, clients, lenders, title companies, inspectors, and vendors.


Team & Administrative Operations

  • Schedule & Office Management: Oversee team calendars, arrange meetings, order office supplies, and keep the physical office stocked with drinks, snacks, and gear.
  • Client Experience & Events: Manage client appreciation gifts, thank-you cards, annual holiday mailings, client events, and basic social media postings.
  • Database Care: Maintain accurate, up-to-date client information within team CRMs.
  • Tech & AI Integration: Research practical strategies to integrate AI and modern software into daily operational workflows to increase team efficiency.
  • Errands & Field Support: Run periodic errands (picking up supplies, gifts, signs, or key documents) and provide rare field assistance (such as opening a property or hosting a showing for team leads when needed).
