Job description

Mullins Mechanical is a leader in industrial and large commercial mechanical, plumbing, HVAC construction projects. Our projects are often in the industrial and manufacturing environments, such as manufacturing facilities, automotive plants, chemical plants, distribution centers, warehouses, and other large commercial facilities. We are a self-performing specialty contractor specializing in design-build applications, HVAC systems, plumbing, process piping systems, boiler and chiller systems, equipment installation and rigging, plant relocation and maintenance, and metal fabrication.
Responsibilities:
  • Provide administrative support for Procore setup and assist with setup of Project Services systems, trackers, and dashboards.
  • Compile and distribute meeting notes, deliverable lists, and action items from preconstruction and handoff meetings.
  • Support subcontractor/vendor outreach and help track procurement priorities and long-lead items.
  • Help prepare kickoff summaries, risk logs, and early project documentation.
  • Update and maintain Project Services trackers (budget, procurement, submittals, RFIs, schedules, BIM/VDC milestones).
  • Support weekly internal Project Services meetings by preparing agendas, updating logs, and tracking action items.
  • Assist with change management by logging Potential Change Orders (PCOs), assembling backup documentation, and monitoring GC responses.
  • Monitor submittal and procurement logs to flag outstanding items and support timely escalation.
  • Coordinate with Scheduling and VDC teams to update milestones and identify impacts to execution.
  • Document uploads, and GC-facing communications.
  • Prepare draft reports and summaries (weekly updates, monthly reviews) for review by the PM - Project Services.
  • Help assemble closeout documentation, including O&Ms, as-builts, warranties, and compliance records.
  • Track closure of RFIs, submittals, and procurement items.
  • Assist in reconciling final costs with Cost Controls.
  • Support warranty tracking, logging client/vendor issues, and following up on resolution.
  • Organize project documentation archives for historical reference.
  • Additional responsibilities may be assigned as needed.

Qualifications:
  • Bachelor's degree in construction management, engineering, or a related field preferred.
  • 1-3 years of experience in project coordination, project controls, or construction management.
  • Internship or entry-level experience in construction or engineering is strongly preferred.
  • Proficiency in MS Office Suite (Excel, Word, PowerPoint).
  • Familiarity with project management software such as Procore, Primavera P6, or similar tools is a plus.
  • Understand of construction processes, cost coding, and scheduling concepts.
  • Highly organized and detail-oriented with strong follow-through.
  • Strong written and verbal communication skills.
  • Ability to manage multiple tasks, prioritize, and meet deadlines.
  • Collaborative team player with a willingness to learn from senior team members.
  • Analytical thinker with problem-solving aptitude.
