The LAS Operations Asset Analyst III is a first point of contact for internal and external customers seeking support and/or information about installed equipment, as well as the management of that equipment's records and maintenance plans. This role is crucial to providing support to the equipment service teams, including work order coordination, internal and external customer communications, outsourcing and receiving of calibrated equipment, and scheduling of technical services. Responsibility includes ensuring the accuracy, reliability, and compliance of measurement instruments by thoroughly reviewing and assessing calibration certificates. This includes verifying certificate details such as instrument identification, calibration dates, traceability to national or international standards, authorized endorsements, and environmental conditions. Additional responsibility involves analyzing calibration data to identify out-of-tolerance results, as well as confirming compliance with established procedures and documentation standards.

Responsibilities include additional duties as assigned by management.

Shift: Monday - Friday standard business hours in Madison, WI.

What You'll Work On

Essential Duties

Include, but are not limited to, the following:

  • Asset Management within CMMS includes, but is not limited to:
    • Setup of equipment records and maintenance plan schedules for all equipment managed by this role.
    • Where needed, management of more than one site.
    • Able to provide financial asset tracking, as needed.
    • Managing the return of externally serviced equipment to equipment owners.
    • Tagging and labelling equipment as required by the organization as well as regulatory bodies.
    • Managing external service schedules (3rd party vendors) for both planned and unplanned service events.
    • Performing in-depth review of technical documentation for equipment including calibration and maintenance records from internal and 3rd party sources.
    • Maintaining a high level of data accuracy and integrity within the CMMs system.
    • Primary source to answer questions for LAS leadership and team, site-leaders, front-line technicians, and adjacent departments regarding lab equipment.
  • Accurate and careful review of calibration certificates to ensure accurate calibration information and regulatory compliance.
  • Demonstrate an entry-level understanding of regulatory requirements and expectations.
  • Assist with inventory management.
  • Provide concise and timely responses to incoming service requests and organizational communications such as Teams and Outlook.
    • Includes communications wither external customers and vendors.
  • Assisting with inventory management as deemed necessary for the site and equipment managed.
    • Ordering necessary parts/components.
    • Supporting proper storage and tracking of retired, unused, or new equipment.
  • Assisting with essential team projects and initiatives as assigned by leadership or other team members.
  • Maintain the accuracy of the CMMS system, including receiving work order requests, assigning work orders and entering system data.
  • Dispatch Helpline requests to internal service teams.
  • Support the scheduling of external vendors for onsite maintenance activities.
  • Coordinate documentation for return of instruments for repair or calibration, as needed.
  • Perform other related duties as assigned by management.

  • Ability to travel 10% of working time away from work location, may include overnight/weekend travel.
  • Ability and means to travel between Madison locations.

Required Qualifications

  • Bachelor's degree in business administration, computer science or related field; Associates degree in business administration, computer science or related field and 2 years of relevant experience or high school degree/general education diploma and 4 years of relevant experience in lieu of degree.
  • 2+ years of experience in a combination of following:
    • Customer service focused setting.
    • Computerized Maintenance Management System.
    • Calibration Management System.
    • Other Windows-based data capture systems.
  • Basic computer skills to include Internet navigation, Email usage, and word processing.
  • Proficient in Microsoft Office to include Excel macros and pivot tables.
  • Authorization to work in the United States without sponsorship.
  • Demonstrated ability to perform the Essential Duties of the position with or without accommodation.

Preferred Qualifications

  • Hands-on experience with equipment qualification.
  • Experience in working in a regulated environment CAP, CLIA, FDA and/or ISO.

The base pay for this position is

$20.50 - $41.00/hour
