Job Title

Employee & Labor Relations Coordinator

Job Description Summary

The Employee and Labor Relations Coordinator provides administrative and operational support to the Employee and Labor Relations team. This role plays a key part in ensuring the accurate maintenance of labor agreements, supporting compliance with collective bargaining obligations, and facilitating smooth communication between management, employees, unions, and external partners. The Coordinator helps drive efficiency, accuracy, and consistency across all labor relations processes.

Job Description

Key Responsibilities

Documentation & Records Management

  • Maintain accurate and organized records of collective bargaining agreements (CBAs), memoranda of agreement (MOAs), and related labor documents.

  • Ensure proper version control, document naming standards, and timely archival of expired or superseded agreements.

  • Support the preparation and distribution of internal communications related to CBA changes and labor relations updates.

Labor Relations

  • Assist with the implementation and tracking of negotiated agreements, including documentation of changes to wages, benefits, and working conditions.

  • Coordinate logistics for meetings, hearings, and communications with internal stakeholders and union representatives.

  • Provide administrative support during grievance, arbitration, and settlement processes.

  • Support the processing of payments related to settlements, arbitrators, subscriptions, and other labor relations vendors.

  • Coordinate vendor onboarding and maintenance activities, ensuring required documentation and approvals are in place.

  • Support administration of Realty Advisory Board (RAB) activities, including issuing payment notices, tracking dues, and coordinating property cancellations with internal and external partners.

  • Maintain accurate financial tracking and supporting documentation for audit and compliance purposes.

Employee Relations

  • Develop, enhance, and streamline Employee Relations (ER) and Labor Relations (LR) processes to improve efficiency, consistency, and employee experience.

  • Identify opportunities for process improvement and collaborate with cross-functional partners, including Ethics & Compliance, HR, Legal, and business stakeholders.

  • Create and maintain ER/LR forms, templates, job aids, and resource materials.

  • Develop PowerPoint presentations, training materials, and communication resources to support ER/LR initiatives.

  • Plan and coordinate team-building activities, town halls, off-site meetings, and other employee engagement events.

  • Manage and distribute ER/LR communications, including new hire announcements, newsletters, organizational updates, and employee-facing messaging.

  • Support ServiceNow case management activities, including case creation, routing, escalation, tracking, and closure.

  • Conduct regular case audits to ensure data accuracy, documentation quality, and compliance with established procedures.

  • Respond to legal, compliance, audit, and records requests utilizing current and archived systems.

  • Assist with the development, review, and maintenance of standard operating procedures (SOPs), policies, and process documentation.

  • Maintain records, reporting tools, and tracking mechanisms to support ER/LR operations and compliance requirements.

  • Partner with internal stakeholders to ensure consistent application of policies, procedures, and workplace standards.

  • Support special projects, organizational initiatives, and continuous improvement efforts across the Employee Relations function.

  • Serve as a point of contact for routine inquiries related to HR policies, labor agreements, and standard procedures.

  • Support the resolution of employee concerns by escalating matters appropriately and ensuring timely follow-up.

  • Assist with the preparation and distribution of required workforce notifications and communications.

Reporting & Compliance

  • Prepare recurring and ad hoc reports to support labor relations operations, union requests.

  • Support compliance with applicable SOX related processes

  • Maintain organized records and ensure timely filing of required notices and reports.

Qualifications

Education

  • Associate's or Bachelor's degree in Human Resources, Business Administration, or Labor Relations.

Experience

  • Prior experience in an HR, administrative, or operations support role.

  • Exposure to employee and/or labor relations, unionized environments, or compliance-driven work is a plus.

Skills & Competencies

  • Organization & Prioritization: Ability to manage multiple workstreams and competing deadlines with accuracy and consistency.

  • Communication: Strong written and verbal communication skills, with the ability to interact professionally with internal teams, employees, and external partners.

  • Attention to Detail: Commitment to accuracy in documentation, data, and process execution.

  • Discretion & Integrity: Ability to handle sensitive and confidential information with professionalism.

  • Collaboration: Comfortable working cross-functionally with HR, Operations, Finance, Legal, and external stakeholders.

  • Technology Proficiency: Highly Proficient in Microsoft Office Suite with a focus on building PowerPoint presentations, HRIS platforms is a plus (e.g., Workday) and ServiceNow. Collaboration/tracking tools to support day-to-day operations (e.g., SmartSheet).

  • Process Orientation: Ability to follow established processes, identify improvements, and contribute to operational efficiency.

  • Adaptability: Willingness to learn labor relations concepts and adjust to evolving business needs.

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate's experience and qualifications.
The company will not pay less than minimum wage for this role.
