The Fluids Lab Administrative Assistant I is responsible for completing various administrative tasks that support daily operations of our Fluids Laboratory, ensuring efficient, timely and accurate communication and documentation of samples. Responsible for providing exceptional customer service, both internally and externally.
DO YOU HAVE WHAT IT TAKES?
WHAT YOU'LL DO:
  • Maintain laboratory records, including but not limited to registration of regular and expedited samples, progress and results of samples, equipment maintenance logs, and customer account information.
  • Mail and distribute sample report results, daily.

  • Communicate daily with the lab manager and other lab staff on progression of samples.
  • Serve as a customer contact, responding quickly to the needs of both internal and external customers.
  • Maintain weekly and monthly invoicing for internal and external customers.
  • Complete lead assignment for action required samples in software.
  • Facilitate internal and external customer access to customer web portal.
  • Navigate and communicate with customers on using CAT inspect and preregistration of samples using QR coded sample bottles.
  • Assist lab manager with monthly customer reporting.
  • Administer customer satisfaction survey responses; determine appropriate party responsible for customer follow up.
  • Monitor supply inventory levels; purchase supplies as needed.
  • Complete required safety and technical training required to perform this role.
  • Assist in maintaining and revising all standard operating procedures for all instruments that provide foundation for ISO Certification.
  • Promote communication, collaboration and cooperation; all lead to increased customer focus and in turn loyalty.

WHAT YOU'LL NEED:
  • High school diploma or general education degree (GED); or less than one year of related experience and/or training; or an equivalent combination of education and experience.
  • Exceptional customer service skills.
  • Entry level organizational skills and attention to detail.
  • Entry level communication and interpersonal skills.
  • Entry level knowledge of safety protocols and regulations related to Fluids Laboratory.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of organization.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Knowledge of MS Office Suite software.
