Job description

 The Intake Specialist serves as the initial point of contact for prospective clients and is responsible for delivering a professional, “red-carpet” client experience. This role screens incoming inquiries, gathers relevant case information, and evaluates whether potential matters align with the firm’s practice areas and intake criteria.

The Intake Specialist ensures that all intake procedures are completed accurately, efficiently, and in accordance with firm policies from initial contact through file opening. This position requires prolonged periods of sitting/standing at a desk, talking on the phone, and working on a computer.


Compensation:

$18 - $25 hourly


Responsibilities:
  • Interview prospective clients to become familiar with their matter
  • Evaluate needs to determine whether they align with the Firm's areas of practice
  • Organize, track, and guide all pending intakes
  • Communicate with Attorneys regarding availability and schedules
  • Schedule initial consultation appointments
  • Create Legal Services Agreements for each new client matter
  • Request, process, and confirm receipt of retainer fees
  • Conduct conflict checks
  • Create new client files/folders in the legal software program
  • Generate weekly new file reports
  • Back up the receptionist as needed
  • Assist paralegals with administrative support tasks as assigned

Qualifications:
  • Excellent verbal and written communication skills; ability to create a genuine connection with each person you speak with
  • Superior client service skills and positive attitude
  • Excellent time management skills with proven ability to meet deadlines and manage priorities.
  • Impeccable organizational skills and attention to detail
  • Enjoy working in a fast-paced, results-driven environment
  • Proficient with Microsoft Office Suite and Outlook. NetDocs and Amicus Attorney preferred
  • Associate’s Degree or equivalent years of related experience
