Job description

At Mobile Air & Power Rentals, we provide innovative cooling, heating, dehumidification, and power solutions for our customers nationwide. We rent out a vast array of equipment, including portable air conditioners, chillers, heaters, and generators, helping clients save time and money while enhancing their operations and memorable events.

We are immediately hiring Rental Coordinators to join our dynamic team, all levels availability starting at Entry Level (I) up to Senior Levels (II, III).

What You’ll Do:

  • Set up, maintain, and manage rental contracts, ensuring information is timely and accurate.
  • Coordinate customer invoicing, purchase orders, rental extensions, and supporting documentation.
  • Communicate directly with customers regarding contracts, billing, project details, and account needs.
  • Work closely with Sales, Operations, Service, Finance, and other teams to support rental activity.
  • Utilize company ERP systems and reporting tools to monitor contracts, invoicing, extensions, and other account activity.
  • Maintain accurate documentation for deliveries, service, pickups, subcontracted services, freight, and other rental-related activity.
  • Help identify and resolve billing, contract, and customer-related issues.
  • Higher-level Rental Coordinators will manage more complex contracts, strategic accounts, major projects, vendor purchase orders, reporting, and contract changes.
  • At more experienced levels, serve as a resource to other Rental Coordinators by providing training, guidance, and support on company systems, contract processes, and day-to-day responsibilities.
  • Perform additional duties and provide operational support as needed.

We’re Looking for the Following Skills/Experience:

  • High school diploma or equivalent required; associate degree preferred.
  • Relevant experience in rental coordination, contract administration, customer service, billing, project accounting, or a related field.
  • Experience levels ranging from developing/entry-level through 6+ years of relevant experience are welcome.
  • Proficiency with Microsoft Office; experience with ERP, CRM, or contract management systems is preferred.
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Strong attention to detail and commitment to accuracy.
  • Excellent communication and customer service skills.
  • Ability to work independently while collaborating effectively across departments.
  • Strong problem-solving skills and willingness to learn and grow within the company.
  • More experienced candidates should demonstrate advanced proficiency with rental contract processes and business systems, along with the ability to independently manage complex projects and provide guidance to less experienced team members.

Work Schedule:

  • This position typically works Monday through Friday and may require additional availability during evenings, weekends, and holidays, particularly during peak seasons.
