Job description

This is a full-time, hourly position working Monday through Friday between the hours of 9:00 am to 6:00 pm. The position is located in Enterprise, FL.

What You Need
  • AA Degree and two years' of experience, preferred
  • High school degree; experience in an office management position
  • Additional certification in Office Management is a plus

Essential Duties and Responsibilities
  • Answer telephone, screen and direct calls
  • Take and relay messages
  • Provide information to callers
  • Greet persons entering organization
  • Direct persons to correct destination
  • Give Tours
  • Deal with queries from the public and customers
  • Collect and register payments
  • Coordinate with finance
  • Ensure knowledge of staff movements in and out of organization
  • Provide general administrative and clerical support
  • Prepare correspondence and documents
  • Receive and sort mail and deliveries
  • Schedule appointments
  • Maintain appointment diary either manually or electronically
  • Organize conference and meeting room bookings
  • Co-ordinate meetings and organize catering
  • Monitor and maintain office equipment
  • Control inventory relevant to reception area
  • Tidy and maintain the reception area
  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and area
  • Answer, screen and forward incoming phone calls
  • Ensure reception area is stocked with all necessary stationery and material (e.g. pens, forms and brochures)
  • Provide basic and accurate information in-person and via phone/email
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Order front office supplies and keep inventory of stock
  • Update calendars and schedule meetings
  • Keep updated records of office expenses and costs
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
  • Treat staff with respect and in a professional way
  • Maintain student records
  • Administer medications in accordance of ECED policies and procedures
  • Supervise other office staff
  • Treat children and family members with dignity, compassion and respect. Always remain objective.
