Reports to: Senior IT Operations Manager
Department: IT Operations
Location: Portland, Maine

Compensation: $25/hr-$29/hr

Who you are:

Under the direction of the Senior Manager of IT Operations, the IT/Facilities Coordinator is a hybrid role comprised of Office coordinator, and tier 1 Help Desk support for our US and international staff. In the office this person will be the first point of contact for vendors and visitors and be responsible for ensuring the office space is functioning to serve our employees. As part of our Help Desk team, they will also support our worldwide staff with the IT functions of our organization. Providing outstanding customer service is essential in all aspects of this position.

This is a primarily in-office role; occasional work-from-home may be accommodated based on business needs and manager discretion. The best candidate for this job will be professional, flexible, motivated, organized, and willing to learn.

What you’ll do:

  • Process and track office-related invoices, coordinating with vendors and internal finance teams as needed.
  • Assist the IT Help Desk team with onboarding and offboarding processes, including account setup, equipment preparation, and access management
  • Serve as the primary point of contact for employees, visitors, and vendors at our Portland office.
  • Occasional travel to Boston required (approximately one day per quarter).
  • Ensure the office environment is functional, organized, and welcoming for staff and guests.
  • Manage building access and security for employees, vendors, and visitors.
  • Act as CIEE's liaison with our landlord and building management team.
  • Support planning and coordination of office events and larger meetings.
  • Partner with IT to maintain office functionality, including printers, internet, workstations, and general troubleshooting.
  • Other duties as assigned.


What you’ll bring:

  • Computer skills including Microsoft Word, Excel, Outlook, and Teams.
  • Flexibility and interest in a dynamic, team-oriented working environment.
  • A willingness to help, follow through, strong organizational skills, and a service mentality are critical in this role.
  • Ability to lift and carry 25 pounds.
