POSITION PURPOSE:
The Women's Health Clinic Manager, in coordination with the Operations and Medical departments, is responsible for the planning, organizing and supervision of operational and clinical duties related to patient-centered care and satisfaction, patient flow, efficiencies, and provider productivity within the Women's Health/Reproductive Health Department. This position will be responsible for monitoring the day-to-day activities of the clinic site and is responsible for the direct supervision, actions and needs of clinic staff.
ESSENTIAL FUNCTIONS:
  • Oversees and manages all aspects of the day-to-day clinic operations and ensures that they are conducted in accordance with the policies and procedures of Aviva Health.
  • Responsible for provider and patient scheduling to ensure maximum patient access and satisfaction, achievement of productivity goals, and financial viability.
  • Monitors daily and monthly productivity and other key performance indicators; reports results to management, takes appropriate actions within the clinic to ensure clinic goals are met.
  • Prepares and implements budgets for clinic site, including monitoring and controlling clinic expenditures within the Aviva Health Board - approved budget, in collaboration with Director.
  • Routinely interacts with patients and staff to maintain awareness of needs and satisfaction of service provided.
  • Engages regularly with staff to assess satisfaction and help ensure concerns are addressed.
  • Engages routinely with patients to assess satisfaction and the quality of services provided.
  • Conducts regular staff and provider meetings on an as-needed basis.
  • Participates in quality improvement processes and implements, evaluates, and maintains QI activities for the clinic.
  • Collaborates with Providers and leadership to implement quality improvement and patient safety and satisfaction initiatives.
  • Coordinates scheduling of all staffing to ensure optimum service levels.
  • Ensures that correct levels of supplies are maintained and organized.
  • Provides direct supervision and support to all department supervisors, program managers, and coordinators.
  • Serves as a mentor and clinical resource to staff.
  • Promotes and supports integration of behavioral health, dental, and other support services into Women's Health Clinic.
  • Ensures clinical care delivery aligns with FQHC standards, protocols, and guidelines.
  • Assists with coordination and compliance of all state/federal programs, to include but not limited to, Reproductive Heath, STI, and VFC.

QUALIFICATIONS:
  • Associate degree in business or healthcare administration, or equivalent experience;
    • Bachelor's degree preferred.
  • Minimum of one (1) year of supervisory or management experience in a healthcare setting required.
  • Active RN or LPN license or Certified Medical Assistant (CMA) credentials preferred.
  • Experience in an FQHC preferred.
  • Ability to work cooperatively with clinical, operations, medical, and finance staff to meet Aviva Health objectives.
  • Excellent communication skills, including oral and written comprehension and expression.
  • Ability to multi-task and adapt to changes in workload and work schedule.
  • Strong experience and skills in Microsoft Office and EMRs (Athena preferred).

WORKING CONDITIONS:
Must be able to perform the following physical requirements:
  • Remain in a stationary position frequently throughout the day to perform administrative duties.
  • Move or traverse occasionally throughout the day through the clinic or office.
  • Operate equipment frequently throughout the day: computer and other standard office equipment.
  • Ability to communicate information and ideas clearly and accurately so others will understand; ability to interact with patients and staff clearly.
  • Able to move or transport up to 30 pounds to maneuver office equipment.
  • Work indoors in heat-controlled environment frequently throughout the day.
  • OSHA Exposure Category - Category #2: The normal work routine involves no exposure to blood, body fluids, or tissues.
  • In-person work; normal business hours with periodic night or weekend work.
  • Travel required and use of company vehicle.
