Job Summary

We are a growing and experienced general practice law firm committed to providing personalized legal services and dedicated client care. Our practice focuses on Estate Planning, Business Law, Personal Injury, Family Law, Probate Law, and Traffic Violations, with a commitment to helping our clients achieve the guidance, support, and outcomes they deserve.

Position Overview

The Receptionist is the face and voice of our firm. This role requires excellent customer service skills, a calm and compassionate demeanor, and the ability to manage a busy front desk in a fast-paced legal environment while providing outstanding support to clients, attorneys, and staff.

Key Responsibilities

  • Greet clients, visitors, and vendors warmly and professionally
  • Answer, screen, and direct high-volume incoming phone calls with excellent phone etiquette
  • Take accurate messages and ensure timely follow-up
  • Schedule and confirm client appointments and meetings
  • Manage incoming and outgoing mail, packages, faxes, and deliveries
  • Scan, file, and organize documents (physical and digital)
  • Maintain a clean, organized, and welcoming reception area and conference rooms
  • Assist with basic administrative tasks such as copying, data entry, and preparing correspondence
  • Support the intake process by distributing forms and directing new clients appropriately
  • Provide general administrative support to attorneys, case managers, and staff as needed
  • Uphold strict confidentiality and professionalism at all times

Qualifications

  • High school diploma or equivalent required
  • Excellent verbal and written communication skills
  • Strong customer service orientation and professional phone presence
  • Ability to multitask and remain calm and organized in a fast-paced environment
  • Proficiency with Microsoft Office (Outlook, Word, Excel) and general office equipment
