The Opportunity

We are looking for a Talent Coordinator who is ready to dive into the fast-paced world of recruiting. This entry level role is the backbone of our highly performing Talent Acquisition team, which has hired more than 600 new team members this year and counting. If you are highly organized, detail-oriented, and love being the behind-the-scenes force that keeps everything running smoothly, you will thrive here.

You will handle much of the administrative coordination that keeps our hiring engine moving, including reviewing resumes, scheduling interviews, tracking feedback, sending offers, and making sure no detail slips through the cracks. You will work hand-in-hand with our Talent Acquisition Specialists to make their lives easier, amplify their impact, and ensure every candidate walks away with a positive impression of Encore, no matter where they land in the process.

Key Responsibilities

The Talent Acquisition Coordinator helps keep a high-volume hiring engine organized and moving. You will support recruiters with scheduling, candidate communication, and clean Applicant Tracking System (ATS) records, so every candidate has a timely, professional experience, and every hiring manager has what they need to make decisions. If you like details, checklists, and keeping people on track, you will be a great fit. In this role, you will: 

  • Coordinate and schedule interviews across departments and locations.
  • Review and process incoming applications in our ATS.
  • Communicate directly with candidates to provide updates throughout the process.
  • Log hiring manager feedback and send out same-day interview recaps.
  • Support offers, background checks, and onboarding prep to ensure a smooth transition to our Employee Experience team.
  • Keep candidate records and communication organized and up to date.
  • Jump in on special projects, reporting, and process improvements as needed.
  • Be a force multiplier for the Talent team by helping them stay ahead of deadlines and focused on building strong relationships.

Your Path to Success 

In Your First 90 Days: 

  • Learn Encore's story, culture, and core values so you can confidently represent our brand
  • Get comfortable navigating our ATS and internal hiring workflows
  • Support phone screens, virtual, and onsite interview scheduling
  • Shadow the TA team to understand the full recruiting lifecycle and how your work impacts every step 

Post-90 Days:

  • Take ownership of interview coordination and communication across departments and locations
  • Manage candidate flow in the ATS, ensuring timely updates and follow-ups
  • Handle candidate outreach, including rejections, updates, and offer letters
  • Identify opportunities to streamline processes and improve the candidate experience 
What You Bring to the Table
  • Previous experience or an internship in recruiting, HR, or administrative support a plus
  • Strong organization and multitasking skills, and a knack for keeping everything on track
  • Excellent written and verbal communication
  • Ability to juggle multiple priorities in a fast-paced environment
  • A natural curiosity about people and what motivates them
  • Positive attitude, flexibility, and a true team mindset
  • Tech-savvy and eager to learn new tools and systems

What Makes You Stand Out

  • You have a bachelor's degree in Human Resources, Business, or a related field, or equivalent experience supporting recruiting teams.
  • You have 1 to 2 years of experience in Talent Acquisition coordination, recruiting operations, or high-volume scheduling support.
  • You have coordinated interviews end-to-end, including calendar management, confirmations, reschedules, and candidate communication.
  • You are highly organized, detail-driven, and able to juggle multiple open roles, deadlines, and hiring manager priorities.
  • You are comfortable working in an ATS and related tools (for example iCIMS, Greenhouse, or similar).
