About the role
A full-time Marketing Coordinator based in the Dallas market responsible first for event execution, swag and inventory coordination, shipping and logistics support, and recurring operational tasks tied to the event calendar. Additional responsibilities coordinating various marketing tasks related to the execution of the overall marketing plan with internal and external resources. This is an entry-level coordinator role built around structure, follow-through, and day-to-day execution.
What you'll do
  • Maintain the master event calendar, registration dates, exhibitor deadlines, shipping timelines, and internal handoffs
  • Coordinate event logistics: booth assets, shipping, return handling, storage, exhibitor services, team communication, and follow-up checklists
  • Manage swag and promotional inventory at the Dallas office, including inventory level tracking, reorder requests, event prep, and shipping support
  • Support internal swag requests and coordinate ordering with approval on quantity, timing, and spend
  • Prepare event materials, logos, boilerplate information, and other required submissions for vendors and organizers
  • Maintain shared event files, vendor documents, shipping details, and approved materials in an organized structure so current materials can be found quickly and gaps are flagged before upcoming events
  • Help coordinate event-related announcements and basic follow-up items when requested
  • Support post-event recap collection and follow-up tracking after each event

Qualifications
  • Bachelor's degree in business, communications, marketing, or a related field preferred. Recent graduates are encouraged.
  • Strong organizational skills and follow-through. Must be comfortable managing deadlines, details, checklists, and handoffs across multiple active projects.
  • Able to ask questions, flag issues early, and work within an approval process
  • Prior coordination experience, internship experience, or clear strength in structured project support preferred
  • Comfortable using spreadsheets, calendars, shared folders, and common workplace tools
  • Ability to lift boxes up to 50 pounds.
  • Located in the Dallas metro area. Proximity to Addison, TX preferred for inventory access and event shipping preparation
