JOB SUMMARY: The IT Administrative Assistant is responsible for supporting the maintenance and enhancement of IT-related matters. This includes inventory and billing tasks for the department and organization, inventory and asset control, software licensing management and tracking, onboarding/departure processing, audit-related tasks, application access controls, vendor relationships, and overall administrative support to the technology department. 
DUTIES AND RESPONSIBILITIES:
  • Manage vendor invoices and work closely with the Finance/Accounting department(s) to ensure they are paid accurately and on time 

  • Maintain IT budget by recording and monitoring monthly expenses, including submitting monthly expense reports 

  • Manage asset inventory solutions for the company-wide software and equipment, including IT licenses and agreements 

  • Fulfill software and hardware purchase requests, ensuring purchases are cost-effective and compliant with IT policies 

  • Collaborate with HR and IT teams to manage onboarding and offboarding processes 

  • Arrange and prepare equipment for shipping/receiving and distribution accurately and promptly 

  • Manage contracts and purchasing with vendors and suppliers, including managing invoicing and payment processes 

  • Record purchases, perform physical inventory audits, and maintain and reconcile inventory records 

  • Assist with projects and operational tasks assigned by the management team 

  • Spearhead the planning, organizing, and executing departmental volunteer initiatives, fostering team engagement and ensuring broad participation 

  • Track volunteer hours to achieve departmental goals in conjunction with Bank goals 

  • Maintain and organize IT storage room and replenish inventory as needed 

  • Perform other duties as assigned 

QUALIFICATIONS:
  • High School Diploma required; Bachelor's Degree preferred 

  • Minimum 2 years of administrative experience required, focus within Information Technology strongly preferred 

  • Proficiency with Microsoft Office tools (Outlook, Word, PowerPoint, Excel)   

  • Excellent verbal, written, and interpersonal communication skills   

  • Strong organizational skills and attention to detail    

  • Outstanding problem-solving and time management skills   

  • Self-motivated, self-directed, and results-oriented  

  • Adaptable and able to multitask in a fast-paced environment   

  • Can work independently and within a team; solution-oriented with a collaborative approach

The pay range for this position is above. The specific rate will depend on the successful candidate's qualifications and prior experience $61,000 (entry level qualifications) to $67,000 (highly experienced).
