Job Title: Medicaid Biller/Electronic Health Record System Administrator 

Department: Finance

Reports to: SVP Finance & IT 

****Hybrid Schedule(2 days in the office and 3 days remote)

Job Summary:

The Medicaid Biller/EHR System Administrator will be responsible for supporting the Billing/Finance Department in authenticating medical billing claims and validating the fee schedules that are being applied to each claim.  As the System Administrator of our Electronic Health Record systems they will be responsible for management and oversight of usage of our current systems, coordination with vendors for upgrades, enhancements etc. (Foothold). This position will also be responsible for ensuring that any billing vendor for The Family Resource Network is invoicing the appropriate Insurance payors in a timely manner and then tracking and resolving claim denials from the Insurance payors. The Medicaid Biller will also need to maintain a detailed report of all Billing activity and payment status as well as providing recommendations on how to optimize billing process.

Duties/Responsibilities:

Billing

  • Prepare and submit electronic and paper claims for all agency fee-for-service billing

  • Analyze client records, check them for completeness/accuracy and compile Medicaid billing information

  • Maintain up to date billing information in multiple electronic databases

  • Ensure proper coding, authorizations, and service documentation

  • Resolve disputed claims and discrepancies by conducting research and initiating corrective action

  • Ensures timely follow up and tracking of all claims, rejections, resubmissions, and appeals.

  • Verify Consumer Medicaid insurance eligibility as necessary

  • Coordinate with all FRN departments to resolve billing issues

  • Prepare monthly summary reports of Fee for Service billing, adjustments, and revenue

  • Participate in continuing education and maintain knowledge of current Medicaid billing and reimbursement procedures

  • Facilitate billing operations by following policies and procedures, HIPAA compliance and reporting compliance issues

  • Ensure that all work is carried out in a manner that is both respectful and empowering to those we serve as well as all FRN staff

  • Additional responsibilities assigned by Supervisor

Electronic Health Record System Administrator

  • Serve as System Administrator of Electronic Health Record system (Foothold)

  • Manage software for billing

  • Resolve system issues

  • Act as liaison between IT EHR systems and staff, to improve staff accessibility, reporting and day-to-day operations

  • Troubleshoot systems as needed

  • Provide training staff on use of EHR system

  • Additional responsibilities assigned by Supervisor

Education and Experience:

  • Relevant billing experience

  • Familiar with remittance, electronic health records and Medicaid billing processes required

  • Nonprofit or social service billing experience or Medicaid billing experience a plus

  • Experience with Microsoft Office Suite (excel, word, teams outlook)

  • Works will in an environment with firm deadlines

  • Proven ability to multitask and stay organized under pressure

  • Ability to work in team environment

  • Prior experience with EHR software preferred

Qualifications:
  • Must possess excellent communication skills with families, insurance companies and colleagues.
  • Proficient with medical terminology, electronic medical records (EMR) and ICD-10 (preferred).
  • Excellent problem-solving skills.
  • Experience with Microsoft Office products inc. Excel, Word, Outlook, and Teams.
  • NaviNet experience a plus.
  • Associates degree (preferred)( Health Care Administration a plus).
  • Ability to work alone or in a team environment.
  • Strong organizational skills and be detail oriented
  • Spanish language skills a plus
