Administrative Assistant 2, MIT Sports Lab

ADMINISTRATIVE ASSISTANT 2, MIT SPORTS LAB, Mechanical Engineering, to provide comprehensive administrative, operational, and financial support for the MIT Sports Lab and two professors, working independently with minimal supervision to ensure the effective management of academic, research, and programmatic activities. Will coordinate complex calendars, meetings, and domestic and international travel arrangements; manage communications with faculty, students, visitors, industry partners, and external stakeholders; and serve as a key resource for addressing administrative inquiries and supporting day-to-day operations; lead the planning and execution of major events, courses, and programs, including conferences, workshops, class activities, and special events, by overseeing logistics, budgeting, registration processes, vendor coordination, guest engagement, space reservations, catering, audiovisual requirements, and event communications; support hands-on educational programs and faculty initiatives by coordinating course-related activities, preparing materials, assisting with special projects, and helping ensure successful program delivery; and manage a broad range of financial and organizational functions, including purchasing, invoice processing, travel reimbursements, budget tracking, account reconciliation support, recordkeeping, database maintenance, and the preparation of reports, presentations, and correspondence.

REQUIRED: High School education or equivalent; a minimum of three years of administrative, office, or related experience; excellent interpersonal and communication skills and the ability to work effectively with people at all levels; excellent organization and word processing skills, including ability to handle multiple tasks simultaneously; ability to work independently as well as part of a team; ability to prioritize and problem solve; experience with arranging travel, paying invoices, ordering supplies, account reconciliations and expense reimbursements; proficiency in the Microsoft Office Suite; experience updating websites; and willingness to learn new software. PREFERRED: Bachelor's degree.
