Samaritan Recovery Community is a caring, long-standing nonprofit substance abuse treatment provider serving Nashville and Middle Tennessee. Located in the historic East Nashville area with spectacular views of the downtown skyline and Nissan stadium, Samaritan Recovery Community provides intensive residential treatment, transitional living, intensive outpatient, and outpatient services. We provide treatment services to men and women regardless of their ability to pay.

Title: Lead Admission Clerk

This is not an entry level position

Classification: Full-Time Non-Exempt

Reports to: Admissions Coordinator

Qualifications: High school diploma and specialized training with 2-3 years related experience; college credit may be substituted for training or experience where applicable; ability to type 35 wpm.

Supervisory Responsibilities: Admissions Operations

Job Summary: Coordinate Admissions team responsibilities to maintain client and program-related records in accord with agency standards; collect data and prepare statistical reports; provide clerical services to clinical staff as required; answer agency telephone as directed; perform other related duties as required. This is a working team leadership position. Some weekends required.

Duties:

  • Interview clients on telephone for pre-screening and assist admissions in scheduling screening appointments.
  • Maintain SRC database. Enter admissions, discharges, transfers, release of information, census, etc. Run end of month reports.
  • Maintain state TNWITS database. Includes entering admissions, discharges, transfers, programs, level changes, ASI, GPRA's, etc.
  • Maintain and update client information cards.
  • Billing – enter TNWITS encounters weekly to state. Balance SRC data base to TNWITS data base monthly. ATR encounters entered as received from counselors.
  • Process request and receipt of client treatment records from other agencies in accord with confidentiality laws.
  • Conduct Level I chart audits. Monitor charts for compliance with standards of timeliness and format in documentation. Distribute findings to supervisor and staff, monitor corrections.
  • Maintain adequate inventory of program forms, admission packets, and client handbooks (IR and TL); organize and maintain orderly filing system for all forms and program reports.
  • Provide typing, filing and other clerical services as needed or as directed by supervisor.
  • Answer agency telephone as required.
  • Participate in all administrative and staff meetings as scheduled.
  • Delegate duties to clerks, volunteers and work-study students as appropriate.
  • Answer inquiries from clients.
  • Prepare verification letters and certificates for clients and former clients.
  • Receive personal items dropped off for clients.
  • Prepare clinical staffing notes and maintain in log.
  • Maintain client emergency contact log.
  • Answer correspondence and maintain log.
  • Prepare initial client records from admission paperwork.
  • File all additions to client records as received.
  • Conduct assessments and admissions as needed.
  • Perform initial interviews and screening assessments to determine eligibility and appropriate level of care in accordance to ASAM criteria.
  • Conduct duties of the Client Care Specialist as needed.
  • Monitor bed assigning as needed.
  • Operate excel waitlist as needed.
  • Cross training – be able to conduct a screen or an admission as needed.
  • Perform other related duties as assigned.
  • Maintain client census with Admissions Coordinator.
  • Distribute electronic census daily.
  • Other duties assigned
