Role: Clinical Operations Financial Analyst

Position Summary

We are seeking a detail-oriented Clinical Operations Financial Analyst to support the financial management of clinical trial programs. This entry-level position focuses on clinical trial site payment analysis and reconciliation, budget tracking, accruals, vendor invoice processing, and month-end close activities.

The ideal candidate will have strong analytical and Excel skills, excellent attention to detail, and the ability to work across financial and clinical systems while managing multiple priorities and deadlines.

Key Responsibilities
  • Review and reconcile clinical trial site payment requests against executed agreements, site budgets, study visits, and milestones.

  • Verify payment amounts and supporting documentation for accuracy and contract compliance.

  • Serve as a point of contact for investigative sites regarding payment-related questions.

  • Coordinate with Clinical Operations, Finance, Accounts Payable, CROs, vendors, and investigative sites to resolve payment issues.

  • Reconcile site payment activity with enrollment and visit data from clinical systems.

  • Track pass-through and reimbursable costs, including patient stipends, travel, overhead, and other invoiceable expenses.

  • Maintain site payment schedules, trackers, payment status, aging, and outstanding balances.

  • Coordinate approved site payments with Accounts Payable and monitor timely processing.

  • Maintain accurate, complete, and audit-ready payment documentation.

  • Assist with clinical trial budgets, forecasts, and enrollment-driven cost projections.

  • Prepare monthly accruals for unbilled and prepaid site and vendor activity.

  • Perform budget-to-actual variance analysis by study, vendor, and cost category.

  • Support the review of CRO and vendor budgets, work orders, change orders, contracted rates, and invoiced amounts.

  • Prepare reports showing clinical trial spend, remaining budgets, cost per patient, and cost per site.

  • Review clinical vendor invoices for proper coding, approvals, purchase order alignment, and contract compliance.

  • Research and resolve invoice discrepancies with vendors, CROs, and internal stakeholders.

  • Prepare assigned journal entries, account reconciliations, and supporting schedules for month-end close.

  • Assist with month-end reporting and clinical accrual roll-forwards.

  • Maintain and improve payment and invoice processing procedures.

  • Identify opportunities to improve, streamline, or automate manual financial processes.

  • Support external audits, tax requests, grants, and other financial reporting requirements.

  • Maintain confidentiality of patient, site, and company information and follow applicable policies, quality requirements, and clinical research regulations.

Required Qualifications
  • Bachelor's degree in Accounting, Finance, Business, or a related field, or equivalent combination of education and relevant experience.

  • 1-3 years of experience in accounting, finance, or financial analysis.

  • Strong proficiency in Microsoft Excel, including lookups, pivot tables, data analysis, and working with large datasets.

  • Strong attention to detail and experience reconciling financial data across multiple sources.

  • Strong organizational, planning, follow-up, and time-management skills.

  • Ability to manage multiple priorities and recurring payment and month-end deadlines.

  • Strong written and verbal communication skills.

  • Ability to work independently with limited direction and collaborate effectively with cross-functional teams.

Preferred Qualifications
  • Experience in medical device, pharmaceutical, biotechnology, clinical research, or life sciences.

  • Experience with clinical trial agreements, site budgets, investigator payments, or clinical trial financial operations.

  • Familiarity with Good Clinical Practice (GCP) and clinical trial operations.

  • Experience with ERP or accounting systems.

  • Exposure to CTMS, EDC, or clinical payment platforms.

  • Experience with clinical trial site payments or CRO financial management.

  • Experience with accruals, journal entries, account reconciliations, and month-end close.
