We are seeking a Bid Coordinator to support estimating, subcontractor outreach, bid organization, and proposal preparation for commercial construction projects throughout Southern California.

  • Coordinate bid invitations, subcontractor outreach, and vendor communication for upcoming projects
  • Assist the estimating team with bid tracking, proposal deadlines, and subcontractor coverage
  • Organize bid documents, drawings, specifications, addenda, and project files
  • Prepare and maintain bid lists, scope sheets, proposal templates, and internal tracking reports
  • Follow up with subcontractors and vendors to confirm interest, pricing, and complete bid submissions
  • Review incoming proposals for completeness, accuracy, exclusions, and missing information
  • Help distribute addenda, updates, and project information to bidding partners
  • Support preconstruction and estimating meetings with notes, documentation, and follow up items
  • Assist with assembling final bid packages and client facing proposal materials
  • Maintain organized records within estimating systems, shared folders, and project databases
Qualifications
  • 1 plus years of experience in construction administration, bid coordination, estimating support, or project coordination
  • Commercial construction experience preferred
  • Exposure to tenant improvement, healthcare, life science, lab, higher education, or technical interiors is a plus
  • Strong organization, follow up, and communication skills
  • Ability to manage multiple deadlines and keep bid information accurate and organized
  • Comfortable communicating with subcontractors, vendors, estimators, project managers, and leadership
  • Ability to read basic construction documents, scopes, and project requirements
  • Proficiency with Microsoft Office required
  • Experience with BuildingConnected, Bluebeam, Procore, SmartBid, or similar construction software is a plus
  • Detail oriented, dependable, and eager to grow within preconstruction and estimating
