Job description

Overview:

We are seeking a detail-oriented and proactive Accounts Administrator to support both the financial and operational aspects of Property Management. This role combines accounting responsibilities with administrative support, requiring strong organizational skills, accuracy, and the ability to thrive in a fast-paced environment.

Key Responsibilities:

  • Review, code, and process accounts payable, invoices, cheques, and wire transfers
  • Manage accounts receivable, including tenant invoicing, rent collection, deposits, and tracking outstanding balances
  • Assist with full-cycle accounting, including expense coding and account analysis
  • Support the preparation of monthly financial statements, variance reporting, and rent roll reviews
  • Maintain accurate records, including tenant files, insurance certificates, and compliance documentation
  • Maintain utility tracking and other operational reports
  • Perform data entry, filing, and general administrative duties
  • Collaborate with internal teams across leasing, accounting, and property management
  • Maintain a high level of confidentiality

Qualifications & Skills:

  • Minimum 2 years' experience in accounting, accounts payable, or similar field
  • Strong knowledge of full-cycle accounting and double-entry bookkeeping
  • Excellent communication skills, both written and verbal
  • Highly organized with the ability to manage multiple priorities and meet deadlines
  • Detail-oriented with a high level of accuracy and confidentiality
  • Ability to work both independently and within a team environment
  • Proficient in MS Office (Word, Excel, Outlook); experience with property management or accounting software (e.g., Spectra) is an asset
  • Positive, professional demeanor with strong interpersonal skills

Education & Experience:

  • High school diploma or equivalent required
  • Candidates with a diploma or certificate in Business Administration, Accounting, or a related field will be given preference
  • Real estate experience considered an asset
