Job Summary

The Client Acquisition Coordinator is a goal-driven, client-facing role responsible for converting prospective clients into active participants in our services, with a primary focus on the Intensive Couples Counseling (ICC) program. This role serves as the face of the clinic for prospective ICC clients and plays a key role in converting inquiries into ICC enrollments when clinically appropriate.


This position blends behavioral health sales, intake coordination, and marketing support, requiring excellent communication skills, comfort with sales conversations, and a strong focus on performance metrics and KPIs. The Client Acquisition Coordinator works closely with the business development and administrative teams to drive revenue growth, optimize conversion rates, support therapist caseloads, and ensure a seamless client experience from first contact to scheduled intakes.


Key Responsibilities


Sales & Conversion

  • Make and receive inbound and outbound phone calls and emails to convert prospective clients into scheduled services, with a primary focus on selling the Intensive Couples Counseling (ICC) program.
  • Confidently educate prospective clients on treatment options, program structure, pricing, and fit, using a consultative sales approach.
  • Convert prospective therapy clients into ICC clients when clinically appropriate.
  • Meet or exceed individual and team sales goals, conversion targets, and other defined KPIs.
  • Track and monitor ICC sales performance, identify trends, and recommend process improvements.

Intake & Scheduling

  • Schedule intake appointments for new clients and complete all required data entry and intake documentation accurately and efficiently.
  • Serve as a welcoming and professional first point of contact, ensuring an exceptional client experience from first interaction through scheduling.
  • Collaborate with the administrative team to ensure smooth handoffs and accurate client information.

Business Development & Marketing Support

  • Collaborate with the business development team to track and manage referrals and support growth of the ICC program.
  • Assist in developing and maintaining referral source strategies.
  • Support marketing initiatives by helping update, maintain, and create content and campaigns across platforms.
  • Manage clinic online presence as assigned (website listings, social profiles) and help measure marketing performance.
  • Plan and coordinate community outreach events and partnerships with the Fellowship and Marketing Manager.
  • Conduct market research and gather feedback from prospects and therapists to inform outreach and program improvements.

Other Duties

  • Develop strong working relationships with clinicians to accurately represent services and refer clients to the most appropriate providers.
  • Prepare brief reports and updates on outreach, referrals, and sales activity for leadership.
  • Complete other duties as assigned to support the practice and its 45+ therapists.

Requirements

Education:

  • Bachelor's degree in marketing, business, sales, healthcare administration, or a related field required.
  • Additional coursework or certifications in sales, marketing, digital marketing, or business development preferred.

Experience:

  • 1 year of experience in sales, marketing, business development, or a related field required.
  • Knowledge of digital marketing strategies, content creation, and community engagement.
  • Experience with the mental health care industry is a plus but not required.

Qualifications & Skills:

  • Excellent verbal and written communication skills.
  • Proven experience in inside sales and/or B2C sales (behavioral health or healthcare strongly preferred).
  • Comfortable selling emotionally sensitive, high-value services with empathy and confidence.
  • Strong goal, KPI, and performance orientation.
  • High energy, friendly, professional, and client-focused demeanor.
  • Exceptional time management, organization, and attention to detail.
  • Dependable and responsible.

Physical Requirements:

  • Manual dexterity to operate office equipment.
  • May require periods of sitting, standing and the ability to walk to various locations throughout the health system to attend meetings.
  • Must have normal or corrected vision and be able to clearly communicate verbally by phone or in person.
