Job Overview

Jensen Hughes is seeking a full-time Project Administrator for our Bellevue, WA office. This position requires strong communication skills, a positive attitude, and proficiency in Microsoft Office applications. The Project Administrator will provide administrative and project support to staff located throughout Oregon and Washington, supporting approximately 20 engineers and consultants. The role is critical to ensuring efficient project execution, office operations, and exceptional client service. 

Responsibilities

  • Maintain and enter new proposals in SharePoint and update CRM systems to ensure data accuracy and completeness.
  • Process client contracts and coordinate with the Contracts Team on reviews, modifications, and negotiations.
  • Set up new projects in SharePoint and coordinate project initiation activities with Project Finance Analysts.
  • Support project accounting activities, including billing, collections, accounts payable, and related financial tasks.
  • Coordinate with Marketing on vendor packets, qualifications, and other project-related materials.
  • Provide backup support to Project and Office Administrators across the West Region as needed.
  • Assist the Function Admin Leader, Team Leader, Managers, and Project Managers with project-related administrative tasks.
  • Welcome and assist staff, clients, and visitors entering and exiting the office.
  • Support a positive, productive office culture and assist with overall office operations.
  • Perform general office administration duties, including answering phones, mail distribution, document preparation, filing, office supply management, meeting coordination, and report production.
  • Participate in additional project and office support activities as business needs require.

Requirements and Qualifications

  • High school diploma, Associate's degree, or equivalent professional experience.
  • 4+ years of administrative and project support experience, preferably within an engineering, consulting, or professional services environment.
  • Strong verbal and written communication skills.
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, Teams, and PowerPoint.
  • Excellent organizational, time management, and multitasking abilities.
  • Ability to identify and resolve issues with minimal supervision.
  • Flexible, adaptable, and eager to learn in a fast-paced environment. 

Preferred Qualifications

  • Experience supporting engineering, architecture, construction, or consulting teams.
  • Familiarity with SharePoint, CRM platforms, and Egnyte.
  • Experience supporting project financial processes and project lifecycle administration.
  • Demonstrated ability to build positive working relationships and contribute to a collaborative office environment.
