Job Summary:

The Engineering Administrative Assistant is responsible for providing administrative and project support to the Greeley Engineering/Maintenance management team including Plant Engineering Manager, Maintenance Manager, Utility Manager, Project Engineers, Continuous Improvement Supervisor, and the Plant Administrative teams. 

The Greeley Team is seeking a Engineering Administrative Assistant to help us achieve our goals.

We Ask Of You To:

  • Capital Requests Processing: Assist technical team with capital project requests including preparation, issue purchase agreements and purchasing requests, contracts and processing of invoices. Preparing purchase agreements against quotes which can involve working in conjunction with the vendors and project engineers.  Work with corporate tax and account depts. to ensure state/city tax requirements and internal accounting regulations are meet.  
  • Contractor Coordination: Ensure all vendors working onsite are prequalified with appropriate certification.  Set up and manage all current certificate of insurance, confidentiality agreement, and safety records in vendor management systems.  Function as a single point of contact for vendors for processing paperwork including agreements, contracts, invoices, tax documents, lien wavers, sworn statements, etc. 
  • Contract Execution:  Obtain and route project documents including construction submittals (e.g. equipment manuals, spare parts list, preventative maint. requirements) and work with vendors to obtain relevant information.  Prepare change orders and contract modification documents as requested by project engineers. 
  • Schedule/organize department meetings, training, and events with both internal and external entities.  Assist plant administrative team with plant-wide event planning and execution.  Ensure supply areas are adequately stocked.   Assist plant administrative team with records retention and records destruction.  Purchase non-regular items for department personnel and maintain/reconcile purchasing card. 
  • Assist in part-time coverage of the front desk.  Audit and/or assist with vendor entry policy. 
  • Assit with regular monthly and annual internal audit preparation alongside Engineering Manager, Plant Controller and Purchasing Agent 
  • Maintain records and reporting for construction, environmental, and safety activities.  Assist the plant Environmental Manager in preparation for environmental audits. Maintain and drive employee recognition programs and team building events.  

Minimum Qualifications (Education & Experience): 

  • Must be 18 years old 
  • Must be able to speak, read, write, and comprehend basic English language 
  • Good communication skills to communicate with co-workers, leadership, and vendors. 
  • Computer proficiency in email, internet, and Microsoft Office software (i.e., Word, Excel and PowerPoint) 
  • One year of previous experience in a high volume, high-urgency administrative position 

Preferred Qualifications (Education & Experience):   

  • Preferred two years of business/administrative courses and/or some college education.   
  • Prior experience in a similar position within a manufacturing facility. 

Knowledge, Skills & Abilities/Competencies:   

  • Working knowledge of SAP, Publisher, Sharepoint, and invoice processing software. 
  • Critical the position holder exhibits a high degree of attention to detail, is highly organized, and can multitask several workflow activities simultaneously in order to ensure all activities receive proper follow-up and attention in a timely and accurate manner.
