Job Summary:

The Talent Acquisition Coordinator & Onboarding Specialist provides operational, onboarding, systems, and compliance support for Talent Acquisition. This role coordinates recruiting and onboarding activities, supports candidates, hiring managers, and recruiters throughout the hiring process, maintains accurate employee and candidate data, supports federal contractor compliance requirements, and helps deliver an exceptional candidate and new hire experience while improving recruiting efficiency.

Minimum Qualifications: (Education, Experience, Knowledge, and Skills):

  • Bachelor's degree preferred or equivalent combination of education and experience.
  • 2+ years of experience in Human Resources, recruiting, talent acquisition coordination, onboarding, or a related field.
  • Experience supporting pre-employment, onboarding, HR systems, recruiting coordination, or candidate-facing processes.
  • Strong organizational, communication and customer service skills with the ability to prioritize competing demands and work independently in a fast-paced environment.
  • Exceptional attention to detail, accuracy, confidentiality, and professionalism in data management, reporting, and documentation.
  • Manufacturing, skilled trades, engineering, construction, utility, energy, or field operations recruiting support experience preferred.
  • Experience with Applicant Tracking Systems (ATS), HRIS systems, onboarding platforms, and recruiting technologies.
  • Experience with Microsoft 365 applications; advanced Excel reporting, data analysis, pivot tables, and dashboard support preferred.
  • Knowledge of federal contractor compliance requirements, including OFCCP, VEVRAA, EEO, applicant disposition tracking, and Affirmative Action Plan reporting preferred
  • Experience coordinating background checks, drug screens, I-9/E-Verify, and new hire onboarding requirements preferred.

Job Duties and Responsibilities:

  • Recruiting Operations & Candidate Experience
    • Create and manage requisitions in the ATS, including approvals, posting management, and requisition closeout activities.
    • Post positions to internal and external sources and maintain accurate posting information.
    • Maintain recruiting documentation, reports, templates, forms, and SharePoint resources.
    • Serve as primary point of contact for candidates, recruiters, and hiring managers by coordinating scheduling, logistics, communications, and process support.
    • Create offer letters and track approvals, acceptances, declines, and related documentation.
    • Administer and track employee referral program.
    • Assist with sourcing initiatives and talent pipeline activities for critical positions.
    • Coordinate and support hiring events, career fairs, campus recruiting, community outreach activities, and employer branding initiatives.
    • Promote positive candidate and hiring manager experience through timely communication, operational support, and continuous improvement.
  • Pre-Employment & Onboarding
    • Administer and track pre-employment in accordance with company requirements, escalating delays or issues as appropriate.
    • Process onboarding documentation, including Form I-9 completion; Ensure timely transfer of employee information into HR systems.
    • Coordinate onboarding materials, welcome kits, equipment requests, and new employee logistics.
    • Partner with HR, Payroll, IT, Facilities, and hiring managers to ensure onboarding requirements are completed prior to start date.
    • Process onboarding and offboarding activities for temporary, contract, contingent, and third-party workers.
  • HR Systems, Data Integrity & Reporting
    • Maintain accurate employee and candidate data within ATS, HRIS, payroll, onboarding, and related systems. Routinely review and audit to ensure data accuracy across systems.
    • Support HRIS transactions including new hires, transfers, status changes, and terminations.
    • Partner with Payroll to ensure employee information is entered accurately and employees are paid correctly.
    • Generate and maintain reports, dashboards, KPI’s, and data extracts supporting Talent Acquisition and Human Resources operations, compliance, onboarding, and hiring performance.
  • Compliance & Federal Contractor Support
    • Maintain applicant and hiring records in accordance with OFCCP, VEVRAA, EEO, ADA, company policy, and applicable document retention requirements.
    • Support applicant disposition tracking, applicant flow reporting, and audit readiness. Routinely review and audit to support federal contractor compliance requirements.
    • Assist with Affirmative Action Plan recruiting documentation, recruiting audits, and required federal contractor reporting.
    • Support veteran, disability, diversity, and other outreach documentation and tracking efforts.
  • Internship Program Support
    • Coordinate internship recruiting, onboarding, program activities, communications, and events.
    • Maintain internship metrics and assist with program effectiveness reporting.
  • Vendor Management
    • Support relationships with background screening vendors, job boards, staffing agencies, educational institutions, and recruiting partners.
    • Monitor vendor performance, service levels, issue resolution, invoicing, and delivery of services.
  • HR & TA Project Support
    • Assist with HR and Talent Acquisition projects, audits, process improvements, and special initiatives.
    • Other duties as assigned in support of overall Human Resources team.

Working Conditions:

  • This position is hybrid.
  • Occasional travel may be required for training or meetings.
  • Must be able to work flexible hours to accommodate different time zones (Central/Eastern/Mountain/Pacific), if necessary.
  • Be flexible for after-hours tasks, as needed.
