Job description

The HR Operations & Employee Experience Specialist serves as a key member of the Human Resources team, providing operational and administrative support across multiple HR functions while helping deliver exceptional employee experience. Reporting directly to the Senior Director, Talent Management & Engagement, this role serves as the primary operational support for the HR Business Partner team and is responsible for coordinating employee lifecycle activities, HR operations, onboarding, leave administration, compliance, employee engagement, and HR programs.

In addition, this role partners closely with the Director, Internal Communications & Community Engagement to support the planning, development, and execution of internal communications that inform, engage, and connect employees across the organization. This includes creating and distributing HR and company communications, supporting employee recognition initiatives, assisting with Town Hall communications, maintaining communication channels, and helping execute company events and engagement activities.

The ideal candidate is highly organized, customer-focused, and thrives in a fast-paced environment while balancing multiple priorities. This individual serves as a trusted resource for employees, leaders, and HR Business Partners by ensuring operational excellence, delivering timely communications, and supporting initiatives that strengthen Cinch's culture and employee experience.

Primary Responsibilities

HR Operations

  • Serve as the primary operational support for the HR Business Partner team.
  • Process all In Home Services (IHS) employee terminations, ensuring timely and accurate completion of all HRIS, payroll, and compliance requirements.
  • Maintain employee personnel files and HR documentation.
  • Manage HR shared services requests and respond to employee inquiries.
  • Maintain HR metrics and reports.
  • Identify opportunities to improve HR processes and operational efficiencies.
  • Leverage AI and automation tools to improve HR processes, increase operational efficiency, and enhance the employee and candidate experience.
  • Research, recommend, and implement new technologies and best practices that support continuous improvement within HR Operations and Internal Communications.
  • Utilize AI tools to assist in drafting communications, creating presentations, analyzing HR metrics, developing training materials, and streamlining routine administrative tasks.
  • Perform all other duties as assigned.

Leave Administration & Compliance

  • Administer all Family and Medical Leave Act (FMLA) and Leave of Absence (LOA) cases in partnership with the Company's leave administrator.
  • Manage compliance with federal, state, and local employment regulations.
  • Serve as the administrator for JJ Keller compliance programs.
  • Ensure accurate documentation and recordkeeping for employee leaves and compliance activities.

Talent Acquisition & Onboarding

  • Coordinate pre-employment activities, including background checks, drug screenings, and onboarding documentation.
  • Manage the onboarding process for new hires from offer acceptance through orientation.
  • Facilitate New Hire Orientation and ensure a positive onboarding experience.
  • Coordinate interview scheduling and candidate logistics as needed.
  • Support executive recruiting activities and candidate experience.

Internal Communications

  • Develop and distribute HR communications, announcements, newsletters, and employee updates.
  • Manage HR-related content on Cinch Connect, digital signage, and other communication platforms.
  • Assist with executive presentations and company-wide communications.
  • Maintain the HR communications calendar.

Employee Engagement

  • Serve as a member of and provide operational support for the Events Committee.
  • Coordinate employee recognition programs, engagement initiatives, wellness activities, and company events.
  • Support Town Halls, employee appreciation events, contests, and volunteer initiatives.

HR Business Partner Support

  • Provide day-to-day administrative and operational support to the HR Business Partner team.
  • Prepare documentation related to employee relations matters, performance management, corrective actions, and organizational changes.
  • Assist with HR projects, talent initiatives, organizational planning, and reporting.
  • Support leaders and employees with HR policies, procedures, and self-service resources.

Qualifications

  • Bachelor's degree in Human Resources, Business Administration, Communications, or related field preferred.
  • 2-5 years of Human Resources, HR Operations, Employee Experience, or Communications experience.
  • Experience administering FMLA/LOA programs.
  • Experience supporting employee onboarding and HR compliance.
  • Strong written and verbal communication skills.
  • Experience with HRIS systems (UKG preferred).
  • Experience with Canva, PowerPoint, SharePoint, and Microsoft Office.
  • Highly organized with exceptional attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Ability to maintain confidentiality and exercise sound judgment.

Preferred Qualifications

·         Demonstrated ability to leverage AI-powered tools to improve productivity, streamline administrative processes, create communications, develop presentations, analyze data, and enhance the employee experience.

·         Experience using AI applications (e.g., Microsoft Copilot, ChatGPT, Canva AI, Grammarly, or similar tools) to support HR operations, internal communications, and project management is preferred.

·         Curiosity and willingness to evaluate and adopt emerging HR technologies and AI solutions that improve efficiency and service delivery.
