Role Description

Our administrative team has a full-time, in-office career opportunity based in Midvale, UT. This role supports day-to-day operations for consulting engineering and surveying teams, as well as office administration and human resources. Responsibilities include managing calendars and scheduling meetings, preparing and formatting documents, reports, and correspondence, organizing project files and records, responding to client inquiries, coordinating project-related information, and providing front-line customer service in person, by phone, and via email. The Administrative Support Specialist will assist with a variety of administrative duties and contribute to continuous improvements in our processes and procedures.

Responsibilities 

  • Will work with the admin team, full-time, in-office (no remote option), providing exceptional customer service, building relationships, and contributing to the Building of a Better Place.
  • Provision of Human Resources-related tasks as assigned. 
  • Exhibit integrity with both internal teammates and external clients.
  • Welcome and direct clients to the appropriate person or conference room.
  • Provide front-line customer service in person, by phone, and via email.
  • Manage calendars, schedule meetings, and assist with conference room scheduling and calendars.
  • Prepare and format documents, reports, correspondence, and other administrative materials.
  • Organize and maintain project files, records, and administrative information.
  • Track project-related information, identify items that need follow-up, and coordinate information with internal teams.
  • Build strong relationships across all departments and leadership to become an effective resource in administrative matters.
  • Distribute clear communications regarding necessary information to the organization.
  • Collaborate within our team as well as other departments.
  • Support preparation and onboarding of new employees, and help facilitate their integration into our company culture and their new department.
  • Coordinate with leadership to plan company events, and arrange travel and accommodations.
  • Assist with a variety of recruiting tasks.
  • Assist employees with benefit information.
  • Maintain office supplies and equipment, as well as coordinate general building maintenance.
  • With integrity and discretion, receive and distribute mail and deliveries within the organization, including safeguarding confidential or high-value materials until they reach the intended recipients.
  • Provide general support to department managers and leadership.
  • As this role evolves, you will be expected to take on more tasks and challenges, which will provide you an opportunity to grow professionally and contribute to the success of the organization.
  • Will be expected to participate in department goal setting and accomplishments, book reviews, and personal and team development.

Starting Pay: $20+ DOE


Schedule

This is a full-time, hourly position

8-hour shift

Monday to Friday, no weekends
