Job Description Summary
The ECSI Assistant Service Manager supports the management and coordination of ECSI service operations. Key responsibilities include overseeing daily service operations, managing customer relations, ensuring the timely completion of service requests, supervising service coordinators/dispatchers, and field technicians, as well as scheduling work. The Assistant Service Manager works closely with the Service Manager to optimize efficiency, address customer issues, managing service documentation and maintain high-quality service standards. Strong communication, organizational, and technical skills are essential for success in this position.
Job Description:
Role & Responsibilities
  • Supervise service and dispatch staff, including service coordinators.
  • Acts as a liaison between field and office staff, including assisting union staff with general questions.
  • Train and on-board new service team members
  • Develop workflows, policies and procedures to create and improve standard operating procedures (SOPs).
  • Manage and prioritize the daily assignments and scheduling of service and maintenance work orders.
  • Answer phone calls.
  • Coordinate schedules for Service and Special Project Technicians to meet the needs of customers.
  • Build and maintain strong relationships with existing customers.
  • Create new relationships with prospective customers.
  • Generate service work orders and purchase orders.
  • Coordinate all inspections and testing.
  • Maintain and update customer information.
  • Verify billing information for accuracy and provide appropriate information to the Billing Specialist.
  • UL Compliance verification.
  • Create and file monitoring accounts.
  • Order service parts as needed.
  • Assist with weekly payroll.
  • Coordinate and manage On-Call rotation.
  • Verify inventory for work order scheduling.
  • Other duties as assigned.

Qualifications and Education Requirements
  • High School Diploma and 3-5 years' experience in customer and account management.
  • Strong track record in Service Management.
  • Must have a high degree of organization and the ability to coordinate multiple priorities, resources, deadlines and projects with minimal supervision.
  • Cooperative attitude and the flexibility to changing priorities is key to success.
  • Ability to work across departments and skill levels.
  • Outstanding organizational and time management skills.
  • Ability to meet deadlines under pressure.
  • Ability to prioritize and to work independently.
  • Must have solid written and verbal communication skills.
  • Ability to build strong working relationships with internal and external business customers.
  • Prior management experience preferred, but not required.

Physical Requirements
  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, filing cabinets, photocopiers and fax machines.
  • Employees are frequently required to sit, and occasionally required to kneel, reach, stoop, crouch or crawl.
  • This position requires the ability to lift files, open file cabinets, and bend or stand as necessary.

This position may occasionally lift up to 10 pounds.
