Job description

The Intake Specialist provides administrative and customer service support to a growing team. Responsibilities include transferring documents between databases, communicating with clients about necessary documents, advising about next steps and the onboarding of clients with attorney (Momentum Immigration).


The Intake Specialist will also be a key member of the team by drafting simple RFE responses under direction of the legal team, compiling drafted RFEs and performing data integrity and data audits.


Intake Specialist will provide exceptional customer service to foreign national clients and in many cases will act as the initial point of contact for clients with respect to the legal team. The Intake Specialist will report directly to the Senior Coordinator.

Duties/Responsibilities

  • Report to Senior Coordinator

  • Serve as a first point of contact for clients regarding legal representation transfer to Momentum Immigration

  • Provide exemplary and timely communication to foreign national clients regarding case onboarding and next steps

  • Responsible for initial analysis of client matters, urgency, deadlines and de-escalation

  • Assist with a timely and orderly transition of client's matters to Momentum Immigration

  • Communicate with clients regarding transfer of legal representation, send Engagement Letters and G-28 to clients and collecting signatures

  • Transfer documents between databases/upload documents into SharePoint and immigration software

  • Gather and organize supporting documentation from clients that are necessary for onboarding with attorney(s) or to respond to requests from various immigration authorities

  • Draft responses to simple RFEs (medical exam requests, provision of simple documents such as birth certificates, translations etc.)

  • Compile drafted RFEs

  • Meet assigned deadlines and communicate case progress/issues to the Senior Coordinator and/or attorney

  • Work collaboratively with USCIS Immigration Specialist(s) and Coordinator(s), manager(s), and attorney(s)

  • Additional responsibilities as assigned.

Required Skills/Abilities

  • Strong organizational skills and ability to meet deadlines

  • Strong desire to work in a team-oriented environment

  • Keep attention to detail

  • Track record of providing excellent client service within a fast-paced environment

  • Interest in learning U.S. immigration law

  • Prior experience with U.S. immigration a plus

  • Prior experience using immigration case management systems, such as INSZoom, a plus

Education and Experience

Some College/Associate's degree preferred

1 plus year(s) work experience in similar position

Prior experience working with Employment Based or similar Immigration programs helpful
