St. Vincent's Medical Center in Bridgeport has more than 3,200 employees. Job Summary
Under the supervision of the System Director, Medical Education Programs, the Manager, Medical Education Programs provides operational support for GME programs, assists with GMEC activities, and coordinates the day-to-day management of program operations and training site processes. The Manager supervises program coordinators, supports accreditation preparation activities, and helps maintain compliance with LCME, ACGME, and other regulatory requirements. This position also collaborates with the VP of Academic Affairs, System Director of Medical Education Programs, and QU Netter School of Medicine to support departmental projects and institutional initiatives.
Responsibilities
Management - 50%
• Reporting Structure - Direct Reports: 5 Program Coordinators, Anesthesia, Internal Medicine, Radiology, Rural Family Medicine, Rural Psychiatry, One (1) Librarian.
• Provides staff with resources, training, and professional development opportunities to support their success in managing programs, rotations, and clinical sites.
• Manages core HR functions including payroll, performance evaluations, compensation, leave of absence tracking, and oversight of anonymous reporting mechanisms.
• Supports departmental projects and contributes to alignment with strategic goals established by leadership.
• Oversee staffing processes, including recruitment, hiring, reappointments, promotions, demotions, and terminations.
• Provides support to the VP of Academic Affairs, QU SOM, DIO, and program leadership including assisting with hiring processes, financial tracking, accreditation, and compliance-related tasks for all trainees, students, and other learner types.
• Conduct regular check-ins, coaching sessions, and department meetings to foster staff engagement, address challenges, and promote continuous improvement.
• Establishes clear performance expectations and feedback mechanisms to ensure accountability and support career growth within the team.
• Promotes colleague wellbeing by encouraging a healthy work-life balance, recognizing achievements, and creating a supportive and inclusive work environment.
Institutional Coordinator - 20%
• Serves as a central liaison among the Designated Institutional Officials (DIOs), Quinnipiac University School of Medicine (QU SOM), the HHC Medical Education Department, and other internal and external partners to promote alignment and continuity across graduate medical education initiatives.
• Collaborate closely with Designated Institutional Officials (DIOs), program directors, and coordinators to uphold Accreditation Council for Graduate Medical Education (ACGME) standards and maintain program accreditation.
• Oversees ACGME accreditation processes for the institution and its sponsored programs, ensuring readiness and adherence to accreditation timelines and requirements.
• Monitors quality assurance and regulatory compliance across all graduate medical education programs, identifying areas for improvement and implementing corrective actions as needed.
• Reviews and validates Program Letters of Agreement (PLAs) to ensure alignment with ACGME guidelines and institutional policies.
• Serves as the Institutional Coordinator for all ACGME-accredited programs and as the ECFMG Training Program Liaison (TPL) for J-1 visa applicants, ensuring compliance with regulatory requirements and institutional standards.
Operations - 20%
• Coordinates onboarding, offboarding, and required training for residents, fellows, program and staff administrators, institutional leaders, and other key stakeholders to ensure smooth transitions and readiness across all roles.
• Facilitates cross-functional collaboration with HHC departments to support educational programs and clinical rotations.
• Maintains and improves operational processes by implementing technology and standardized procedures developed at the institutional level.
Compliance - 5%
• In collaboration with the System of Director of Medical Education Programs, develops and implements policies and standardized procedures for training sites and its programs to ensure operational consistency and excellence.
• Supports compliance efforts by maintaining adherence to policies and assisting with regulatory requirements under the guidance of institutional leadership.
Financial Oversight - 5%
• Prepares financial reports to support departmental operations and budget monitoring.
• Supports individual programs with budget development, monitoring, and financial planning to ensure alignment with institutional goals and funding requirements.
• Oversee financial stewardship for the Graduate Medical Education department, ensuring responsible resource allocation, compliance with funding guidelines, and optimization of program sustainability.
Qualifications:
Education
• Bachelor's degree in business administration, Healthcare Administration and/or Healthcare Policy. Preferred: Master's degree in business administration, Healthcare Administration and/or Healthcare Policy.
Experience
• Minimum 5 years relevant work experience in a healthcare setting. Preferred: 7 years' relevant experience in a healthcare or university setting.
Licensure, Certification, Registration
• Must become Training Administrators in Graduate Medical Education (TAGME) eligible within 2 years from assuming the role. Preferred: Must become Training Administrators in Graduate Medical Education (TAGME) certified within 4 years from assuming the role and maintaining their certification.
