Assistant Director of Education Programs

Position Summary

The Assistant Director of Education Programs provides operational leadership for Binaytara’s accredited & non-accredited continuing education programs. Reporting to the Director of Education, this position is responsible for supervising the continuing education (CME) staff, managing day-to-day operations, supporting regulatory and accreditation compliance, strengthening quality assurance and process improvement, and coordinating the successful delivery of Binaytara’s educational activities.

Binaytara’s continuing education portfolio includes live and virtual conferences, OncoBlast educational activities, enduring materials, and other accredited educational programs. The Assistant Director works across these programs to ensure activities are planned, implemented, documented, and evaluated consistently, efficiently, and in accordance with applicable accreditation requirements and Binaytara policies.

The Assistant Director serves as a key operational leader within the Education department and works closely with the Director of Education Programs to translate departmental priorities into effective processes, staff workflows, and high-quality educational programs.

Key Responsibilities Operations and Program Management
  • Oversee the day-to-day operations of Binaytara’s accredited continuing education activities, including conferences, OncoBlast, enduring materials, and other educational programs.
  • Coordinate workflows and timelines across the lifecycle of CME activities, from initial planning through implementation, evaluation, documentation, and activity closeout.
  • Ensure educational activities meet established internal deadlines, quality standards, and operational requirements.
  • Identify operational issues, bottlenecks, and competing priorities and work proactively with staff and the Director of Education Programs to resolve them.
  • Develop systems that enable the department to effectively manage a growing portfolio of educational activities.
Staff Supervision and Team Leadership
  • Provide direct supervision, guidance, coaching, and day-to-day support to assigned CME staff.
  • Establish clear expectations, responsibilities, priorities, and accountability for team members.
  • Monitor workloads and distribute assignments to support timely and effective completion of departmental responsibilities.
  • Support staff training and professional development, including education related to CME processes, accreditation requirements, technology platforms, and organizational procedures.
  • Foster a collaborative, service-oriented, accountable, and continuous-improvement culture within the CME team.
  • Support the Director of Education Programs with staff performance management and departmental workforce planning.
Accreditation and Compliance
  • Support and oversee compliance with applicable continuing education accreditation requirements, standards, policies, and procedures.
  • Ensure required CME documentation is complete, accurate, consistent, and maintained appropriately.
  • Oversee operational processes related to disclosures, conflict-of-interest management, educational independence, accreditation statements, learner documentation, evaluations, and other compliance requirements.
  • Conduct routine reviews and audits of CME activity files to identify documentation or compliance gaps and ensure corrective action.
  • Maintain readiness for accreditation reviews, audits, and other regulatory or quality-assurance activities.
  • Monitor changes in accreditation requirements and work with the Director of Education Programs to incorporate changes into departmental policies, procedures, training, and workflows.
  • Escalate significant compliance concerns or risks to the Director of CME.
Quality Assurance and Process Improvement
  • Develop, implement, and maintain quality-control processes for CME operations.
  • Routinely evaluate departmental workflows and recommend improvements that increase quality, consistency, efficiency, scalability, and accountability.
  • Develop and maintain standard operating procedures, checklists, templates, timelines, and other operational tools.
  • Establish mechanisms for identifying recurring errors, delays, or compliance issues and implementing corrective and preventive actions.
  • Monitor operational and quality indicators and provide regular updates to the Director of CME.
  • Promote standardization across Binaytara’s continuing education programs while allowing appropriate flexibility for different educational formats.
Attendance, Learner Records, and Reporting
  • Support systems and processes for accurate generation, reconciliation, and documentation of learner attendance.
  • Ensure attendance records and other learner data are processed accurately and within established timelines.
  • Oversee processes supporting the issuance of continuing education credit and learner documentation, as applicable.
  • Work with staff and technology platforms to identify and resolve attendance, registration, evaluation, and credit-related discrepancies.
  • Support preparation of internal, accreditation, and program-level reports related to participation, educational outcomes, and CME operations.
Conference and Educational Program Logistics
  • Provide operational oversight for logistics associated with Binaytara’s live, virtual, and enduring educational activities.
  • Coordinate with CME staff and other Binaytara departments to ensure educational programs are operationally prepared and executed successfully.
  • Support conference planning processes, including faculty coordination, schedules, educational materials, registration and attendance workflows, onsite requirements, evaluations, and post-activity closeout.
  • Anticipate logistical risks and develop contingency plans for significant educational activities.
  • Provide onsite or virtual operational leadership for conferences and other programs as needed.
  • Ensure post-activity requirements are completed accurately and on schedule.
Cross-Functional Collaboration
  • Work closely with the Director of Education Programs and other Binaytara departments involved in educational programming, communications, technology, finance, events, and administration.
  • Serve as an operational resource for faculty, planners, partners, and other stakeholders regarding CME processes and requirements.
  • Help translate accreditation and operational requirements into clear expectations and practical workflows for internal and external stakeholders.
  • Support effective communication between the CME department and other teams involved in the delivery of educational programs.
On-site conference support
  • Be available to travel to conferences at least one weekend a month (schedule determined based on staffing needs) and provide on-site support as needed.
  • Departmental Leadership and Director Support
  • Assist the Director of Education Programs in implementing departmental goals, priorities, and initiatives.
  • Provide regular updates regarding program status, staffing, compliance, operational performance, risks, and emerging issues.
  • Assume responsibility for designated departmental operations and projects as assigned by the Director.
  • Help develop the infrastructure, processes, and team capabilities needed to support the continued growth of Binaytara’s continuing education programs.
  • Provide operational continuity and departmental leadership in the Director’s absence, within delegated authority.
Qualifications Required
  • Bachelor’s degree or equivalent combination of education and relevant professional experience.
  • Progressive experience in continuing medical education, continuing education, healthcare education, conference/program management, accreditation, or a closely related field.
  • Experience coordinating multiple programs or projects with competing deadlines and stakeholders.
  • Demonstrated experience developing or improving operational processes and quality-control systems.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to interpret requirements, policies, or standards and translate them into practical operational processes.
  • Strong written and verbal communication skills.
  • Demonstrated ability to work effectively with staff, faculty, healthcare professionals, organizational leadership, and external stakeholders.
  • Ability to independently identify problems, develop solutions, and appropriately elevate significant risks or issues.
  • Proficiency with technology and the ability to learn and manage systems used for registration, attendance, educational content, project management, and reporting.
  • Ability to travel and work occasional evenings or weekends in connection with conferences and educational programs.
Preferred
  • Experience working within an accredited continuing medical education or continuing education provider.
  • Knowledge of ACCME accreditation requirements and standards for integrity and independence in accredited continuing education.
