Assistant(e) Exécutif(ve) / Executive Assistant

Notre client, une entreprise canadienne reconnue située au cœur du centre-ville de Montréal, est actuellement à la recherche d’un(e) Assistant(e) Exécutif(ve) pour se joindre à son équipe dynamique.
Il s’agit d’un poste permanent offrant un excellent environnement de travail, des avantages sociaux compétitifs, un régime REER ainsi qu’un horaire hybride.

Principales responsabilités
  • Gérer l’agenda du cadre supérieur et coordonner les rendez-vous, réunions et événements
  • Participer à la préparation des réunions et présentations, incluant la rédaction de documents, graphiques, tableaux et présentations
  • Accueillir les visiteurs et répondre aux demandes de renseignements, courriels et demandes de réunion au nom de la direction
  • Effectuer le suivi des budgets, des notes de frais et des rapprochements financiers
  • Organiser les déplacements professionnels et effectuer les réservations nécessaires
  • Coordonner les conférences, événements corporatifs et activités de reconnaissance des employés
  • Fournir un soutien administratif général (classement, photocopies, documentation, etc.)
  • Maintenir à jour diverses bases de données, rapports et modèles administratifs
  • Soutenir les gestionnaires dans l’intégration des nouveaux employés, les commandes de matériel et les suivis préembauche
  • Préparer et diffuser les communications internes au besoin
  • Répondre aux demandes téléphoniques et électroniques
  • Coordonner le courrier ainsi que les livraisons et expéditions par messagerie
  • Participer à la planification des aménagements et déménagements de bureaux ainsi qu’au suivi de l’infrastructure informatique
  • Gérer les fournitures de bureau, incluant les commandes et la distribution
  • Effectuer toute autre tâche connexe
Exigences
  • Minimum de 5 ans d’expérience dans un rôle similaire en soutien administratif
  • Excellentes aptitudes organisationnelles et capacité à gérer plusieurs priorités dans un environnement dynamique
  • Maîtrise de la suite Microsoft Office, notamment Word et PowerPoint
  • Excellentes compétences en résolution de problèmes
  • Excellentes habiletés de communication écrite et verbale en français et en anglais, incluant la révision et la correction de documents
  • Ce poste requiert l’utilisation quotidienne de l’anglais afin de soutenir les communications et interactions à l’échelle nationale

Executive Assistant
Our client, a well-established Canadian company located in the heart of downtown Montreal, is currently seeking an Executive Assistant to join its dynamic team.
This is a permanent position offering a competitive compensation package, comprehensive benefits, RRSP program, and a hybrid work schedule.

Key Responsibilities
  • Manage the executive’s calendar and coordinate appointments, meetings, and events
  • Assist in preparing meetings and presentations, including drafting documents, charts, reports, and presentations
  • Welcome visitors and respond to inquiries, emails, and meeting requests on behalf of senior leadership
  • Monitor budgets, expense reports, and financial reconciliations
  • Coordinate business travel arrangements and related reservations
  • Organize conferences, corporate events, and employee recognition activities
  • Provide general administrative support, including filing, photocopying, and document management
  • Maintain and update various databases, reports, and administrative templates
  • Support managers with onboarding new employees, ordering equipment, and completing pre-employment follow-ups
  • Prepare and distribute internal communications as required
  • Respond to telephone and electronic inquiries
  • Coordinate incoming and outgoing mail and courier services
  • Assist with office space planning, office relocations, and coordination of IT infrastructure maintenance
  • Manage office supplies, including ordering and distribution
  • Perform other related administrative duties as required
Qualifications
  • Minimum of 5 years of experience in a similar administrative support role
  • Excellent organizational skills with the ability to manage multiple competing priorities in a fast-paced environment
  • Strong proficiency with Microsoft Office Suite, particularly Word and PowerPoint
  • Excellent problem-solving abilities
  • Strong written and verbal communication skills in both English and French, including proofreading and editing skills
  • This position requires the daily use of English to support communication and interactions across Canada
