DESCRIPTION
The UCSD Mathematics Department is a dynamic unit with 67 faculty, approximately 30 additional non-FTEs in various instructional and research titles. These academics work on a broad range research funded from a diverse range of federal, state and private agencies. The department is comprised of 23 career staff, and 190 Master's and Ph.D. students. All working together to generate high caliber research in a broad range of fields and provides an outstanding graduate program that attracts top-ranked students who contribute to the department's academic reputation. The department maintains a large undergraduate course of study that prepares pure and applied majors (over 2400) in Mathematics, as well as 57 other majors across the campus, with the strong fundamental background in mathematics needed to succeed in a variety of career options. The faculty are engaged in a vigorous research program with an average of 72 active awards in many interdisciplinary areas totaling approximately $20M/Yr. and an instructional program that enrolls approximately 40,000 graduates and undergraduates per year. As the fundamental language of science, Mathematics is an essential intellectual tool required by a trained workforce to create the technological advances of the future. The department is the home of The Center for Computational Mathematics (CCoM). It consists of a broad and diverse group of faculty, researchers, and students, who share a common interest in the mathematical aspects of computation. The department is also the home of the Director of the Mathematics Diagnostic Testing Project, an intersegmental education project in California.
Under the close supervision of the Instructional Support Manager and the Student Affairs Manager, the Instructional Support & Advising Assistant serves as the initial point of contact for the Department of Mathematics Student Affairs office. Primary responsibility is to "triage" academic advising services, providing guidance to undergraduate students and other constituents on UCSD and department policies and procedures. Provides individuals with accurate information and appropriate referrals to various campus offices/resources. The position oversees the routine processing of the undergraduate student transfer course petition online review system and processing. Provides general office management and administrative support in a highly computerized and team-oriented environment. May provide basic backup A/V assistance for department equipment.
Applies professional student services concepts, policies and procedures in the completion of Student Services assignments that are of limited scope and impact. Receives instructions on most work assignments, and regularly consults with Student Services specialists in the course of completing increasingly complex assignments. Follows standard practices and procedures in analyzing Student Services situations or data from which answers can be readily obtained. Exercises some judgment within defined procedures and policies to determine appropriate action. Demonstrates excellent interpersonal skills and multicultural competencies when representing UCSD to diverse constituents. Ability to adjust to shifting priorities under short deadlines while maintaining composure, discretion, and confidentiality.

QUALIFICATIONS

• Experience working with a diverse student population.
• Experience working sensitively and effectively with a diverse population of students, faculty, staff, and the public across broad educational, cultural, and socio-economic backgrounds. Demonstrated multicultural competencies; ability to work with diverse populations.
• Knowledge of UC and the department / school / college. Knowledge of or ability to quickly learn UCSD policies, procedures and services related to, or supporting, student affairs.
• Familiarity with campus referral resources such as the Registrar's Office, Student Financial Services, CAPS, and the Office for Students with Disabilities (OSD).
• Ability to articulate straightforward department and university policies to students, faculty, staff, and the public. Basic interpersonal and customer service skills, with the ability to respond with tact, diplomacy, and sensitivity when interacting with individuals from diverse educational and cultural backgrounds. Ability to communicate effectively orally and in writing.
• Ability to multitask, maintain accuracy, and handle frequent interruptions in a fast-paced environment.
• Interpersonal skills. Basic interpersonal and active listening skills, with the ability to interact effectively, sensitively, and professionally with students, staff, and the public. Ability to recognize when individuals require specialized assistance and make prompt, appropriate referrals to campus resources or senior staff. Skill and ability to maintain administrative records and digital documents clearly, completely, and accurately according to established filing and data storage systems.
• Understanding of higher education environments, typically acquired through a Bachelor's degree or equivalent combination of education and experience.

PREFERRED:

• Knowledge of University-specific computer application programs and pertinent databases. Demonstrated skill in the use of computing systems to complete tasks including word processing,spreadsheet design, and database management. Ability to use internet search tools for information retrieval. Must have the willingness and ability to increase and update computer hardware/software skills as needed. Experience with UCSD computing systems.
