Job description

Ahold Delhaize USA associates support the brands with a wide range of services, including Finance, Legal, Sustainability, Commercial, Digital and E-commerce, Technology and more.

OverviewThe primary purpose of this position is to provide project coordination, technical, and administrative support to the Store Development organization. This role is responsible for coordinating and facilitating key project activities, including managing the bidding process through PMWeb, preparing and routing construction contracts, supporting project financial administration through Coupa and SAP, and assisting with the redline review process. In addition, the position maintains project tracking systems, supports the planning, execution, and closeout of capital projects, and serves as a key resource for project documentation and organizational support.
Working closely with Project Managers, Construction Leads, Architects, Engineers, and external contractors, this position plays an integral role in ensuring projects are executed efficiently and in accordance with established schedules, budgets, and company standards. This is an entry-level development position that provides valuable exposure to all phases of the capital project lifecycle and offers career progression opportunities into roles such as A&E Specialist, Special Projects Associate, Format Specialist, or Project Manager I/II.
This position is based in our office located in Cromwell, CT.
Applicants must be currently authorized to work in the United States on a full-time basis.

ResponsibilitiesContracts, Coupa, and SAP

  • Prepare construction contracts for all departmental projects at the direction of the Construction Director and Project Manager or dept team/lead.
  • Assist team members with Coupa purchase orders - issuing PO's, amending PO's, etc.
  • Work with Coupa Administration on resolving various issues with invoices and requisitions.

Redline Review and bidding process
  • Coordinate with the A&E team and Project Managers to schedule and facilitate redline review meetings for architectural and engineering drawing packages and specifications, ensuring timely distribution of plans, supporting documentation, and meeting materials.
  • Assist Project Managers in the preparation, organization, and administration of bid packages, including requests for proposals (RFPs), bid forms, drawings, specifications, special instructions, project schedules, and RFQ documentation within PMWeb. Ensure bid packages are complete, accurate, and issued in a timely manner to support competitive pricing, minimize project risk, and reduce the potential for future change orders.

Administrative Support
  • Provide administrative and organizational support to the Store Development, Construction, and A&E teams, including the coordination and distribution of project-related communications, documentation, and correspondence.
  • Coordinate meetings and manage conference room scheduling for Construction Leads, Project Managers, the Pre-Construction Lead, and the A&E Lead, ensuring meetings are effectively organized and supported.
  • Utilize Microsoft Office Suite and other business applications to prepare reports, presentations, meeting materials, and project documentation, ensuring accuracy, consistency, and a high level of professionalism.

Project Manager / Associates Field Support
  • Attend selected project and jobsite meetings, document key discussion points, action items, and decisions, and follow up with project team members to help ensure timely resolution of outstanding issues and commitments.
  • Coordinate the procurement, distribution, and maintenance of construction drawings and project documents, including ordering plans from reprographic vendors and ensuring project teams have access to the most current documentation.
  • Maintain and update divisional project tracking tools and reports, providing accurate and timely project status information to support planning, execution, and decision-making across the Store Development team.

Project / A&E Contract Closeout Process
  • Support the project closeout process by coordinating the collection and review of closeout documentation, including as-built drawings, warranties, operation and maintenance manuals, and other turnover documents required for project completion.
  • Assist in the timely processing and reconciliation of construction requisitions, invoices, and final payments to support project financial closeout objectives and ensure completion of all outstanding financial obligations following store opening.

IL/MA/MD/NY Salary Range: $30.54 - $45.81
