HR Operations Assistant / Office Coordinator

What Youโ€™ll Do

This is a dual-function, non-exempt role supporting office operations, recruiting coordination, onboarding, and administrative functions within a fast-paced security environment. This position plays a key role in supporting daily office flow, employee communication, and operational organization.

This is a full-time, FLSA non-exempt position reporting to the Operations Manager.

Office & Administrative Support

Welcome and greet employees, applicants, clients, and visitors professionally

Assist with maintaining a clean, organized, and efficient office environment

Answer phones, respond to general inquiries, and route communications appropriately

Support scheduling coordination for interviews, onboarding, orientations, and meetings

Assist leadership with administrative projects and operational support tasks

Maintain office supplies, files, and documentation systems

Support workforce communication and follow-up processes

HR & Recruiting Support

Assist with onboarding coordination and orientation scheduling

Maintain employee records and compliance documentation

Track licensing, certifications, and training requirements

Assist with recruiting coordination and candidate communication

Support scheduling and workforce coverage needs

Help ensure HR records and internal systems remain accurate and organized

What Weโ€™re Looking For

Prior administrative, office management, or HR support experience preferred

Strong communication skills both verbally and in writing

Ability to multitask and stay organized in a fast-paced environment

Professional demeanor and customer-service mindset

Experience with scheduling, onboarding, or recruiting coordination is a plus

Basic computer proficiency including Microsoft Office, Google Workspace, and email communication

Ability to maintain confidentiality and professionalism

Work Schedule

Schedules may vary based on business needs and may include occasional evenings or weekends as needed. Advance notice will be provided where practicable. This is a non-exempt role and will be paid for all hours worked, including overtime in accordance with California law.

Pay Range
