Description:  Secretary - Transportation Office
Terms of Employment - Full time - 12 month employee
Reports to:  Transportation Supervisor
Salary:  Current Secretary salary schedule
Minimum Qualifications:







  • High School Diploma or general education degree (GED).
  • Previous experience as secretary (preferably in a transportation or educational environment).
  • Experience with preparing purchase orders and payment vouchers required. (Experience with FSF preferred.) Able to assist supervisor with State bus route contracts, budgets, and contractor payments.
  • Strong MS Word and Excel skills to manage payroll, seniority status, changes in hourly wages, substitute pay, summer school hours, and sick day reporting for staff.
  • Ability to learn all relevant aspects of Infinite Campus (student information system). (Experience with Infinite Campus preferred.)
  • Experience with creating and editing Google Docs/Sheets required.
  • Strong communication skills. Able to engage staff and parents on the phone in professional manner. Can distribute bus routes to schools and families. Can send out broadcasts with urgent updates (e.g., bus delay).
  • Effective skills in computer, verbal and written technology. Able to arrange transportation for field trips and athletic events, including all associated follow-up. (Experience with transportation accommodations is preferred.)                                      
  • Experience with coding payroll and reconciling state credit cards.
  • Experience with human resource management systems (i.e., Join DE Schools), pulling applications, setting up interviews, and creating interview packets.
  • Experience with record keeping. Ability to maintain driving records, new driver paperwork, and driver status reports.
  • Experience with PDMS in creating courses, sections, surveys, attendance rosters, and payroll.
  • Experience with ordering supplies, books, and materials for different schools or programs.
  • Ability to perform responsibilities with minimal supervision.
  • Ability to set priorities and work under pressure.
  • Ability to thrive in a fast pace environment and multi-task.
  • Ability to relate well to staff members.

Essential Duties and Responsibilities:

  • Maintains a regular filing system and processes incoming correspondence as instructed. Places and receives telephone calls, records messages, and returns calls when requested. Uses email to conduct daily operations.
  • Follows procedures which implement operational and fiscal policies, including the creation of PVs, administration of driver/aide leave in AESOP, and reporting of driver/aide hours to payroll.
  • Follows policies and procedures as established by the district office.
  • Provides support, functions as liaison, and works cooperatively with the staff.
  • Prepares Purchase Orders and Payment Vouchers.
  • Manages McKinney-Vento and foster child transportation, including contractor logistics and oversight.
  • Provides project management support for summer programming, athletic events, field trips, and after-school programming.
  • Able to use Infinite Campus and Busology (or similar) to solve problems, answer questions, and generate reports/routes.
  • Other duties as assigned
