Our client is seeking an experienced Litigation Legal Secretary to support a busy litigation practice. The ideal candidate is proactive, highly organized, detail oriented, and thrives in a fast paced legal environment. This position provides direct support to multiple attorneys and requires exceptional organizational skills, sound judgment, and the ability to manage competing priorities while maintaining a high level of professionalism.

Responsibilities

  • Provide litigation support to multiple Partners and Associates.
  • Prepare, revise, proofread, and format pleadings, motions, discovery, correspondence, agreements, and other legal documents.
  • Electronically file documents with California State and Federal Courts, including Superior, Appellate, District, and Supreme Courts.
  • Review filings for accuracy and compliance with court rules and filing requirements.
  • Maintain attorney calendars and docket litigation deadlines using the firm's calendaring system.
  • Coordinate hearings, depositions, mediations, arbitrations, trials, and client meetings.
  • Prepare trial notebooks, exhibits, binders, and other materials for hearings and trial.
  • Maintain electronic client files using the firm's document management system.
  • Enter attorney time and expense reports as needed.
  • Coordinate travel arrangements and prepare expense reimbursements.
  • Communicate professionally with clients, court personnel, opposing counsel, and vendors.
  • Provide secretarial coverage for other attorneys and legal secretaries as needed.
  • Assist with special projects and other administrative duties assigned by attorneys or management as needed.


Qualifications

  • Minimum of 5 years of litigation legal secretary experience in a law firm.
  • Experience supporting multiple litigation attorneys.
  • Extensive experience filing in California State and Federal Courts.
  • Strong knowledge of court rules, deadlines, and litigation procedures.
  • Excellent written and verbal communication skills.
  • Exceptional attention to detail and organizational skills.
  • Ability to prioritize multiple deadlines while maintaining accuracy.
  • Ability to work independently and exercise sound judgment.
  • Professional, confident, and composed under pressure.
  • Strong client service and interpersonal skills.


Technical Skills

Experience with the following is preferred:

  • Microsoft Office Suite (advanced Word and Outlook skills)
  • iManage
  • CompuLaw
  • Westlaw Drafting Assistant
  • Adobe Acrobat or other PDF software
  • Judicial Council Forms software


Municipal law experience is a plus.
