Location: Raleigh, NC Employment Type: Full-Time M-F 7:30-16:30 Status: Actively Hiring Security Clearance: Public Trust or Active Secret Clearance Position Summary This is a multi-function position combining four areas of responsibility: military medical database system administration, DoD IT helpdesk support, medical readiness event coordination, and MHS GENESIS system administration. The incumbent owns and manages user access across the full portfolio of Army National Guard medical databases and portals, serves as the primary IT support resource for all medical branch personnel, coordinates statewide medical readiness events from planning through post-event documentation, and administers MHS GENESIS access and records retrieval. This role requires broad technical fluency across DoD medical information systems, strong organizational skills to manage concurrent event and database workstreams, and the ability to work independently across all four functional areas without supervisory overlap. The ideal candidate brings deep system administration experience, prior event coordination background, and a consistent commitment to HIPAA compliance and data integrity across every task. Key Responsibilities * Manage user permissions and access for the full portfolio of military medical databases and portals including MODS, MEDCHART, MEB Prep, MHS GENESIS, Quest Diagnostics, DOEHRS, AERO, IPPS-A, and iPERMS; troubleshoot and resolve all access issues * Initiate and maintain user accounts ensuring all eligibility requirements - current security clearance, HIPAA certification, and applicable system training - are met before access is granted * Coordinate with system helpdesks to identify and resolve member file discrepancies; generate and distribute weekly Task Force readiness reports, monthly MEDPROS readiness reports, and quarterly Commander Portal reports to subordinate commands * Submit monthly user account delinquency reports and maintain a current internal medical staff contact directory on shared collaboration platforms * Provide comprehensive IT helpdesk support for all network, hardware, and software issues encountered by medical branch personnel; review, triage, and assign IT support tickets in the applicable government CRM system * Receive and process requests for statewide medical readiness events including health assessments, mental health evaluations, deployment assessments, labs, immunizations, vision, hearing, and dental services; enter events into the management system no less than 60 days prior to the event date * Maintain a current fiscal year and upcoming fiscal year Medical Readiness Event Tracker on shared platforms; gather event planning data twelve months in advance and provide finalized details to leadership by January 31st each year * Participate in pre-event coordination calls approximately 30 days before each event; coordinate nurse case management, behavioral health support, vaccination logistics, and personnel arrangements * Verify systems of record are fully updated following each event; monitor event attendance and maintain an avoidable cost rate below 2.5%; submit After Action Reports to the government point of contact within established deadlines * Manage MHS GENESIS access and training requests for medical staff and assigned personnel; retrieve and distribute medical documents to providers and case managers for service members treated at active-duty Medical Treatment Facilities or VA hospitals Required Qualifications * Must be a United States citizen * Minimum four (4) years of functional experience in each assigned DoD military medical database system * Current DoD 8570.01-M / DoDD 8140.01 baseline IT certification * Current Introduction to the DoD Disability Evaluation System Training - must be held upon assignment; * Current DOEHRS Certification - must be held upon assignment * Annual registered access to the applicable medical event management portal * Availability for periodic weekend work to support Medical Readiness Events * Willingness to travel statewide * Able to obtain and maintain a NACI / Public Trust Security Clearance and DoD CAC * Strong proficiency in Microsoft Office Suite: Word, Excel, PowerPoint, Outlook, Teams, SharePoint * Demonstrated ability to manage competing workstreams, meet deadlines, and handle sensitive and confidential information Preferred Qualifications * Prior military service or direct experience supporting Army National Guard or Army Reserve medical programs * Experience administering multiple DoD medical database environments simultaneously * Prior experience coordinating Army National Guard medical readiness events * Familiarity with DOEHRS, AERO, IPPS-A, and iPERMS access management * Hands-on MHS GENESIS experience including DoD/VA inter-facility records processes * Currently active DoD CAC or existing favorable security clearance - Secret or higher fully meets and exceeds the minimum requirement Required Certifications * DOEHRS Certification * Introduction to the DoD Disability Evaluation System Training * DoD Baseline IT Certification (CompTIA, Security+, CompTIA A+, or equivalent)
