Job Description: Assistant Project Manager

Job Purpose Paragraph

This position is responsible for supporting the Project Manager in coordinating the construction process from preconstruction handoff through project closeout. The Assistant Project Manager plays a key role in project documentation, procurement support, subcontractor coordination, cost tracking, scheduling support, and communication between owners, architects, consultants, subcontractors, field teams, and internal stakeholders. This role helps maintain organized project controls, supports compliance with public and private project requirements, assists with financial and contract administration, and helps ensure construction activities progress according to the approved scope, schedule, budget, quality expectations, and 3i standards.

Key Responsibilities

Project Coordination & Client Support

  • Support the Project Manager in day-to-day coordination with clients, architects, engineers, subcontractors, vendors, and internal stakeholders
  • Assist with communication between the project team, field staff, subcontractors, consultants, and ownership representatives
  • Prepare, distribute, and track meeting agendas, minutes, action items, and follow-up responsibilities
  • Participate in Owner-Architect-Contractor (OAC), subcontractor, and internal coordination meetings as needed
  • Help communicate project status, open items, risks, and upcoming milestones to the Project Manager and project team
  • Maintain professionalism and responsiveness consistent with 3i’s brand and values

Project Planning & Execution Support

  • Assist with project startup activities including kickoff preparation, scope review, document setup, and execution planning
  • Support schedule development, milestone tracking, look-ahead planning, and coordination with Superintendents
  • Coordinate with field teams to support subcontractor sequencing, procurement timing, and production tracking
  • Assist with monitoring construction progress against the approved schedule and identifying potential delays or coordination issues
  • Help track project deliverables, long-lead items, key decisions, and owner or consultant responses
  • Support project close coordination between office and field teams as project conditions evolve

Financial Management & Contract Administration Support

  • Assist the Project Manager with budget setup, cost tracking, forecasting support, and project financial reporting
  • Support preparation and review of owner payment applications, subcontractor billing, and backup documentation
  • Assist with potential change orders (PCOs), change orders (COs), pricing backup, and change logs
  • Help create, issue, and track subcontractor contracts, purchase orders, scopes of work, and procurement items
  • Maintain subcontractor insurance, compliance documentation, executed agreements, and contract-related records
  • Track cost-related project information accurately and escalate discrepancies or risks to the Project Manager

Documentation & Project Controls

  • Manage and maintain RFIs, submittals, meeting minutes, project correspondence, and project logs using Procore or similar project management software
  • Review project documentation for completeness, accuracy, and timely distribution to the appropriate parties
  • Maintain organized project records including RFIs, submittals, change orders, meeting minutes, procurement logs, decision logs, and closeout logs
  • Identify documentation gaps, pending approvals, missing information, or scope issues that may affect schedule, cost, quality, or risk
  • Support project reporting requirements, KPI tracking, and internal status updates
  • Ensure safety-related documentation, project updates, drawings, bulletins, and field reports are distributed to appropriate subcontractors and team members

Public / Bond Compliance & Procurement

  • Support compliance with public owner requirements, procurement procedures, documentation standards, and reporting requirements
  • Assist with bid processes including ITBs, RFQs, RFPs, scope leveling, bid tab preparation, and subcontractor follow-up as needed
  • Maintain documentation in an organized, audit-ready format for public, bond-funded, or other compliance-driven projects
  • Track subcontractor compliance items, certified documentation, insurance, reporting requirements, and owner-required submissions
  • Assist with procurement tracking for materials, equipment, subcontractor commitments, and long-lead items

Quality Control, Compliance & Safety Support

  • Support constructability reviews, drawing reviews, and preconstruction planning efforts
  • Assist with quality control documentation and coordination to help ensure work complies with plans, specifications, contract requirements, and 3i standards
  • Help track inspections, testing requirements, permits, regulatory items, and owner or jurisdictional requirements
  • Support safety program enforcement in coordination with the Project Manager, Superintendent, and field teams
  • Participate in safety reviews, documentation distribution, and follow-up on safety-related action items as needed

Project Closeout

  • Assist with punch list tracking, final inspections, owner deliverables, and closeout coordination
  • Manage closeout documentation including O&M manuals, warranties, as-built documents, attic stock logs, training documentation, and final submittals
  • Track subcontractor closeout requirements and follow up until documentation is complete and compliant with contract requirements
  • Support substantial completion, final acceptance, warranty coordination, and final project documentation turnover

Technical Skills

  • OSHA 30 Certification required or ability to obtain within an approved timeframe
  • Procore project management software knowledge and experience
  • Bluebeam experience
  • Microsoft Project or scheduling software knowledge preferred
  • Microsoft Office Suite proficiency (Excel, Word, Teams, Outlook)
  • Ability to read and interpret construction drawings, specifications, scopes of work, RFIs, submittals, and project documents
  • Understanding of construction contracts, procurement workflows, documentation controls, and change management processes
  • Strong written communication, meeting documentation, and organizational skills

Qualifications

  • 1-4 years of relevant construction experience as an Assistant Project Manager, Project Engineer, Field Engineer, Project Coordinator, Assistant Superintendent, or similar role
  • Experience supporting new construction, renovation, commercial, or public-sector construction projects preferred
  • Bachelor’s degree in Construction Management, Engineering, Architecture, or a related field preferred but not required with equivalent experience
  • Working knowledge of construction documentation, project controls, contracts, estimating fundamentals, procurement, and scheduling
  • Ability to manage multiple priorities, open items, deadlines, and stakeholders in a fast-paced environment
  • Strong communication, follow-through, problem-solving, and interpersonal skills
  • High level of organization, attention to detail, accountability, and willingness to learn
  • Experience with public-sector work (K-12, municipal, government) preferred
  • Familiarity with CMAR/CSP delivery methods preferred
